Facilities Administrative Assistant
Location:
Sunbury, Ohio
Compensation:
From $21.00 per hour
Position Overview
We are seeking a detail-oriented and proactive Facilities Administrative Assistant to support daily operations across our facilities and administration functions. This role plays a key part in ensuring the smooth operation, maintenance, safety, and compliance of company facilities while serving as a central point of contact for staff and vendors.
Key Responsibilities
- Support oversight of building systems, including HVAC, electrical, plumbing, and general maintenance
- Coordinate routine inspections, preventive maintenance, and repair activities
- Assist with managing company-owned vehicles and related upkeep
- Serve as the primary point of contact for employees regarding facility requests and concerns
- Coordinate with vendors, contractors, custodial teams, and security personnel to ensure timely service completion
- Assist in managing vendor contracts and service agreements
- Support facility security protocols, including access control and key distribution
- Assist with emergency preparedness planning, including evacuation procedures
- Help ensure compliance with building codes, safety regulations, and company policies
- Maintain facility documentation, reports, and maintenance logs
- Process invoices, purchase orders, and facility-related correspondence
- Monitor and maintain inventory of office and facility supplies, coordinating purchasing as needed
Qualifications
- Previous experience in facilities, property administration, or administrative support preferred
- Basic knowledge of building systems, maintenance practices, and safety regulations
- Strong organizational skills and attention to detail
- Excellent communication skills with the ability to work effectively with staff and vendors
- Ability to manage multiple tasks and priorities in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- High school diploma or equivalent required
