Facilities Administrative Assistant


Location:

Sunbury, Ohio
Compensation:
From $21.00 per hour

Position Overview
We are seeking a detail-oriented and proactive Facilities Administrative Assistant to support daily operations across our facilities and administration functions. This role plays a key part in ensuring the smooth operation, maintenance, safety, and compliance of company facilities while serving as a central point of contact for staff and vendors.

Key Responsibilities

  • Support oversight of building systems, including HVAC, electrical, plumbing, and general maintenance
  • Coordinate routine inspections, preventive maintenance, and repair activities
  • Assist with managing company-owned vehicles and related upkeep
  • Serve as the primary point of contact for employees regarding facility requests and concerns
  • Coordinate with vendors, contractors, custodial teams, and security personnel to ensure timely service completion
  • Assist in managing vendor contracts and service agreements
  • Support facility security protocols, including access control and key distribution
  • Assist with emergency preparedness planning, including evacuation procedures
  • Help ensure compliance with building codes, safety regulations, and company policies
  • Maintain facility documentation, reports, and maintenance logs
  • Process invoices, purchase orders, and facility-related correspondence
  • Monitor and maintain inventory of office and facility supplies, coordinating purchasing as needed

Qualifications

  • Previous experience in facilities, property administration, or administrative support preferred
  • Basic knowledge of building systems, maintenance practices, and safety regulations
  • Strong organizational skills and attention to detail
  • Excellent communication skills with the ability to work effectively with staff and vendors
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • High school diploma or equivalent required
