Executive Assistant to Superintendent, Bilingual Required
The primary purpose of this job is to provide administrative support to the Superintendent and the Board of Directors. The incumbent of this job exercises leadership and provides direction to all executive operations and is the primary point of contact for the Superintendent's office.
Essential functions include managing the Superintendent's calendar, evaluating potentially hostile situations, responding to and solving a wide variety of calls, concern and/or complaints, preparing letters, memorandums, reports and other documents requested by the Superintendent, preparing and distributing agendas and minutes for administrator meetings, cabinet meetings and board meetings including minutes of meetings involving student and staff appeals, providing administrative support to board members, providing confidential administrative assistance to the Superintendent's Executive Cabinet related to all areas such as policy, personnel, budget allocation, and labor relations, providing leadership to build relationships crucial to the success of the District, managing a variety of special projects for the Superintendent, responding to inquiries from staff and community members directly and/or by referring them to appropriate individuals or departments, serving as a resource to District families and community partners, facilitating and coordinating the disciplinary appeals processes for students and employees in compliance with state law and district policy, maintaining and achieving, when appropriate, required records, processing and updating District policies, overseeing student online registration system, providing information, and support to buildings and families, overseeing District choice transfer system and process, working with and supporting communications Director and receptionists, providing support to administrative assistants and building secretaries as needed, completing monthly and annual state reports as required, serving as a resource and support for district records retention, responsible for the management of the Superintendent's office, complying with the Open Public Meetings Act and Open Public Records Act, and other related duties as assigned.
Other functions include serving as a resource to other employees on the use of office equipment and computer software, and serving as a resource to other employees on district policy.
Reports to the Superintendent. Interacts regularly with various administrators, support staff, and other district employees. Contacts with individuals outside of the district include regular contact with parents and community members and occasional contact with Educational Service District 105 staff members and various community agencies.
The daily work is performed in an office setting and at various sites within the district. The job incumbent is often required to: attend evening meetings or activities; sit for prolonged periods; be exposed to computer display terminal for prolonged periods; deal with sensitive, confidential information; and meet externally imposed and inflexible deadlines. The incumbent is sometimes required to: deal with distraught, angry or hostile individuals.

Education and Experience:
High school diploma is required. College-level course work in business administration and/or management is required. BS, BA or AA Degree preferred.
