Sunnyvale, CA (On-site, with occasional CM site visits)

We are seeking a highly organized and detail-oriented RMA & Logistics Coordinator to support the end-to-end coordination of returns, repairs, replacements, inventory verification, and shipment movement across internal teams, warehouses, contract manufacturers, carriers, and customers.
This role combines traditional RMA coordination with logistics follow-up, helping ensure units are properly tracked, verified, moved, and closed out accurately. The ideal candidate enjoys problem-solving, investigating discrepancies, managing aging RMAs and shipments, and working across multiple teams and systems to keep operations moving.
Key Responsibilities- Coordinate RMA activity from authorization through receipt, inspection, repair, replacement, credit, scrap, and final closure.
- Partner with contract manufacturers, warehouse teams, receiving, quality, engineering, finance, logistics providers, and internal stakeholders to ensure RMAs and shipments move through the process efficiently.
- Coordinate shipment pickups, carrier activity, delivery confirmations, return receipts, and replacement orders while tracking shipment status and key milestones.
- Verify incoming and outgoing units against RMA authorizations, inventory records, shipment documentation, packing lists, and system transactions.
- Investigate delayed, aging, or stalled RMAs, shipments, receipts, and inventory discrepancies; identify root causes and drive resolution.
- Monitor open RMAs, overdue shipments, pending receipts, inventory variances, and unresolved action items; elevate blockers as needed.
- Analyze inventory reports, shipment records, RMA data, and system transactions to identify discrepancies, reconciliation gaps, missing units, and process issues.
- Maintain accurate records and status updates in Net Suite, Jira, Smartsheet, carrier portals, and other operational systems while leveraging Excel for reporting, reconciliation, and variance analysis.
- Partner with Quality and Engineering to support inspections, failure analysis, disposition decisions, and prioritization of hardware requiring action.
- Communicate status updates, risks, next steps, and resolution timelines to internal stakeholders while identifying opportunities to improve RMA, inventory, shipping, receiving and tracking processes.
- 2+ years of experience in RMA coordination, logistics, shipping & receiving, inventory control, customer operations, order management, or supply chain operations
- Familiarity with reverse logistics, warranty processes, shipment tracking, delivery confirmation, inventory verification, and returns management
- Experience working with ERP and tracking systems such as Net Suite, Jira, Smartsheet, carrier portals, or similar operational tools
- Advanced Microsoft Excel skills including formulas, lookups, pivot tables, filtering, report comparisons, variance analysis, and reconciliation
- Strong analytical problem‑solving skills with the ability to investigate discrepancies, identify root causes, and drive issues to resolution
- Ability to manage multiple open RMAs, shipments, inventory issues, and action items simultaneously while maintaining strong attention to detail
