Description
The Office Associate position provides office support to the Douglas County Sheriff’s Department. This position is responsible for reviewing and processing department documentation to ensure timely routing/availability to the State, other agencies and the public. Oversee records/documentation completion and communicating with officers to correct issues. Work with Deputies on accurate/timely completion of statistical documents and reports for State grant reporting criteria as well as law enforcement reporting criteria.

Oversee records/documentation completion and communicating with officers to correct issues. Work with Deputies on accurate/timely completion of statistical documents and reports for State grant reporting criteria as well as law enforcement reporting criteria.
Full-time based on 37.5 hours per week (1,950 hours annually); non-exempt. The typical hiring range for 2026 is $19.62–$21.17 per hour.

Essential Duties- Analyze daily records in law enforcement software programs for accuracy and route to appropriate destinations; works with deputies to correct issues.
- Update/distribution of forms/memos/procedures/court notices/media reports within designated Department deadlines.
- Review/download/transmit audio/visual/electronic recordings and interviews.
- Troubleshoot Department issues with law enforcement documents, records, procedures to ensure consistent documentation completion/paperwork routing by designated Department deadlines.
- Works directly with other departments/agencies/public to assist with their time-sensitive requests for law enforcement-related issues.
- Assists other Department staff and SPD Records with various projects/requests.
- Review of agency law enforcement records and documentation, rejecting incomplete/incorrect documentation and notify deputy what action is needed to correct issues.
- Ensures accurate/timely completion of agency records which is necessary for grant reporting, prosecution/court requirements, and public convenience/availability and avoiding delays that affect all aspects of the process.
- Assist deputies with analysis/data updates/prepares accurate grant documentation/reports to WIDNR by designated deadlines.
- Performs other duties as required.
- High school diploma or equivalent required.
- Graduation from a vocational or accredited technical college with one (1) year of computer or office support experience preferred.
- Legal experience or prior work-related experience within the State Court system is desirable.
- Ability to communicate effectively and professionally with the general public, including excellent telephone etiquette and customer service skills.
