Senior Tender and Contract Specialist (Sur Campus).
Job FunctionThe objective is to become a “go for” professional who is capable of using the latest state of the art concepts, tools, and technologies of best practices for measuring business performance, maintaining compliance efforts, monitoring & controlling risks, as well as extracting and reporting the tender and contract position of ASU in a timely & effective manner.
Responsibilities- Contacts and follows-up with local and foreign suppliers to provide ASU with proposals, quotations and deliverables. Compiles and shortlists suppliers and recommends relevant suppliers to management to select among them.
- Prepares local purchase orders based on vendor selection procedures, ensures these are properly completed including the terms of payment, coordinates with suppliers and follows up outstanding local purchase orders.
- Maintains procurement records such as items or services purchased costs, delivery, product quality or performance and inventories.
- Coordinates with other department/faculty to identify needs of ASU as a whole to economies ordered quantities and reduce ordering, inventory holding costs and delivery time.
- Ensures that satisfactory conditions are built into any contracts and that suppliers adhere to the terms of the contract in accordance with ASU specifications.
- Full responsible for all ASU Contracts and Insurance agreement.
- Maintains all contracts and agreements records such as items or services contract costs, delivery, services quality or vendor performance, payment methods and contract start/end date.
- Follow up all contracts and agreement with end user department/faculty on a quarterly basis.
- Renewal/cancel/amendment all contracts agreement basis on ASU need.
- Prepares reports that summarize quarterly and variances from budget.
- Obtains good relation with all contractors and all end user department/faculty.
- Maintains Contracts and Agreements by following policies and procedures.
- Completes any other duties and responsibilities when requested by the management, which are commensurate with this role.
- Participates and assists in Annual reports.
- Participates and assists in Monthly reports.
- Prepares Compliance Officer When Deputy director on leave.
- Participates in preparing department Operation plan.
- Involved in preparing department Risk register.
- Participates and assists in PPM review.
- Other duties as assigned by the Line Manager.
Minimum 4 years of experience in relevant or closely related field.
Skills- Be thoroughly familiar with the legislation in the Tender and Contract sector of activity.
- Working knowledge of inventory planning, forecasting techniques and operational systems.
- Ability to identify processes needing improvement and to recommend improvements.
- Excellent negotiation and interpersonal skills.
- Excellent communication and IT Skills.
- Fluent in English and Arabic.
Bachelor degree in Business Administration from an accredited university or related field.
