Mailroom Supervisor

In this role, you will oversee daily mailroom operations within the detention facility while supervising personnel responsible for processing, inspecting, tracking, and distributing incoming and outgoing mail, packages, and operational correspondence. You will ensure all mailroom activities are conducted securely, efficiently, and in compliance with government detention standards, postal regulations, facility security procedures, and company policies. This position requires strong organizational skills, leadership abilities, attention to detail, professionalism, and the ability to manage mail operations within a secure detention environment.

Responsibilities:

  • Supervise mailroom staff and coordinate daily mail processing, package distribution, resident correspondence activities, and operational workflow within the facility mailroom.
  • Monitor incoming and outgoing mail operations to ensure all correspondence, legal mail, and packages are processed accurately, securely, and within required timelines.
  • Ensure mail inspection procedures are properly followed to identify contraband, prohibited materials, security threats, or unauthorized items in accordance with facility policies.
  • Maintain accurate mail logs, tracking records, chain-of-custody documentation, certified mail records, and operational reports related to mailroom activities.
  • Coordinate resident mail distribution schedules and ensure operational departments receive mail and correspondence efficiently and securely.
  • Train mailroom personnel on security procedures, mail handling requirements, operational protocols, confidentiality standards, and postal regulations.
  • Inspect mailroom equipment, storage areas, package processing spaces, and operational workstations to ensure organization, functionality, and compliance with safety procedures.
  • Investigate mail discrepancies, missing packages, damaged correspondence, or operational concerns and report findings through the appropriate chain of command.
  • Coordinate communication with detention personnel, legal representatives, outside carriers, government agencies, and facility leadership regarding mailroom operations and resident correspondence activities.
  • Ensure all mailroom operations comply with government detention standards, postal regulations, facility security procedures, and company operational policies.
  • Support audits, inspections, compliance reviews, and operational assessments related to mailroom operations and resident communication services.
  • Maintain professionalism, leadership, strong organizational skills, confidentiality, and effective communication while supporting secure and efficient detention facility mailroom operations.

Qualifications:

  • Must possess a minimum of three (3) years of mailroom administrative experience.
  • Must possess a minimum of one (1) year of mailroom supervisory experience.
  • Must be able to provide proof of citizenship or legal US work authorization.
  • If prior active-duty military, must provide copies of DD214(s) showing discharge condition.
  • Must consent to fingerprinting.
  • Must be at least 21 years of age.
  • Must possess a high school diploma or equivalent
  • Clean criminal record and ability to pass a comprehensive background check and security screening.
  • Ability to pass a preemployment medical assessment and drug screening.
  • Excellent communication, observation, and report-writing skills.
  • Ability to remain calm and effective under pressure and in high-stress situations.
  • Ability to work flexible shifts, including nights, weekends, and holidays.

Work Environment:

Employees may be exposed to extreme cold or hot weather conditions, fumes, or airborne particles, toxic or caustic chemicals, and loud noise.

Physical Requirements:

Employees may be required to remain in a stationary position, stand, push, pull, climb, kneel, crawl, balance, squat, bend, and reach. Employees may be also required to use gear to move items around, including, but not limited to, carts and dollies. Employees may also be occasionally required to lift and/or move up to 49 pounds.
