Under general supervision, provides front office administrative support for DSH. Administrative duties include but are not limited to answering phones and directing callers; assisting in-person visitors; scheduling and confirming all OP appointments, coordinating transportation for group members, assisting with group set-up, handling mail and correspondence.
Duties and Responsibilities- Following internal procedures and external regulations.

- Professionally greeting all visitors/callers to DSH. Either assisting individuals directly or directing them to the appropriate person/division/department.
- Assessing and screening calls from the public to determine which service best fits their issue or need.
- Sorting and distributing incoming mail as well as preparing outgoing mail and other correspondence.
- Providing administrative support for DSH including telephone coverage, copier projects, mail handling, filing, supplies control and necessary internal and external communications.
- Preparing daily paperwork and/or administrative assignments, as needed, according to procedures. May be asked to prepare general correspondence, memos, charts, spreadsheets, reports, etc.
- Scheduling and keeping track of patient groups and individual sessions along with meetings and other reservations for conference rooms.
- Assisting with group set-up and take down as needed.
Requires a High School Diploma or General Education Degree (GED). Two to three years’ experience in a front office / administrative position required. Experience in a hospital or behavioral health setting preferred.
Computer SkillsMicrosoft Windows environment with Office Suite to include formatting and production of word processing documents, spreadsheets, and reports. Ability to use tools for video conferencing, as needed.
Certificates, Licenses, Registrations- Level one fingerprint clearance card in the State of Arizona or provide proof of application by hire date.
- CPR certification within 30 days of employment.
- CPI certification within 30 days of employment.
- Customer-service driven with demonstrated poise, tact, and diplomacy along with the ability to handle sensitive and confidential situations.
- Professional and personable demeanor.
- Ability to read and comprehend instructions, correspondence, and memos. Good spelling and grammar skills.
- Ability to work with numbers and mathematical concepts (adding, subtracting, etc.) on a regular basis.
- Excellent follow-through skills.
- Strong attention to detail and well organized.
