Program / Project Manager, Operations Manager

Role DescriptionThis is a volunteer remote role most of the time for a Program Director based in Surprise, AZ, with some potential for on-site event or program support to fill in for program facilitators. The Program Director will oversee program planning, execution, and evaluation to ensure successful outcomes. Facilitators will be on-site running programs based on your direction. Our CEO/COO will provide plans for you to use to manage the small team of event facilitators across our program sites.
General responsibilities include managing teams, developing strategies, tracking program performance, maintaining budgets, and ensuring alignment with organizational goals. The role requires collaboration with board members and the ability to address challenges effectively.
Your team will send you spending, attendance, and other feedback about the programs at their location and you will consolidate it in our cloud for the treasurer and grant team to collect data from for funding / budgeting. Collect photos wherever possible for our media team to use or for the website.
Itemized breakdown of responsibilities, keep in mind much of this you can delegate to the facilitators.
1. Planning & Organization- Clarify project goals and success outcomes (education, support, awareness, fundraising).
- Identify required resources (volunteers, vendors, venues, materials).
- Maintain a master task list and update weekly.
- Develop and track project budget (expenses, in-kind donations, sponsor ships).
- Coordinate with Treasurer/Board on approvals.
- Monitor spending and flag concerns early.
- Prepare brief budget updates for leadership/board.
- Assign tasks to staff, volunteers, and committee members.
- Schedule and lead brief check-ins.
- Ensure roles are clearly defined and supported.
- Acknowledge and appreciate volunteer contributions.
- Serve as point of contact for partners, vendors, and community groups.
- Coordinate messaging with marketing/social media.
- Provide regular project updates to Executive Director/Board.
- Ensure communications reflect compassion and dignity.
- Oversee logistics (venue, accessibility, signage, materials).
- Confirm vendors, speakers, and volunteers.
- Serve as on-site lead during events.
- Ensure ADA accessibility and dementia-friendly practices.
- Identify risks and prepare backup plans.
- Track outcomes (attendance, feedback, funds raised, impact).
- Collect photos and testimonials for grants and reports.
- Complete post-project summary and archive documents.
