The contract administrator is responsible for managing contracts with direct customers by delivering pay applications, lien waivers, invoice, and reconcile projects. This person is responsible for to receive all payments associated with direct projects. They also monitor the performance and compliance of the contracts, and report on their status and progress. The success of this administrator will be determined by the timely payments of work performed and level of repeat business of current and future customers.
ESSENTIAL FUNCTIONS:
1. Set up new contracts for direct jobs.
2. Complete change orders for contracts with our sales team and installer subcontracts
3. Complete installer subcontract purchase orders.
4. Ability to read legal contracts to determine payment, insurance and bonding requirements and E-Verify.
5. Verify required documentation to the direct customer for each new contract.
6. Collaborate with sales team to submit all new contract documents including schedule of values, certificates of insurance and W-9s.
7. Changes money in quote program to match purchase order.
8. Assists manager with reports.
9. Monitors lien rights for all direct jobs and files intent to lien when required.
10. Administer the required documents, forms and approvals for AWI dealer and direct project certification.
11. Collaborate with insurance agent to order required insurance documents and add or send to customer on the portal.
12. Serve as backup for accounts payable and accounts receivable and assist as needed.
13. Other duties as assigned.
Requirements
1. Associates degree in accounting, Bachelor of Science degree in accounting or progressive experience with pay applications
2. Possess strong customer service skills and professionalism
3. Detail oriented and good math skills
4. Knowledge of office equipment
5. Demonstrate proficiencies in MS Office products
6. Ability to prioritize tasks within short time frames and adaptable to fast pace changing environment.
7. Ability to multitask and work independently
8. Excellent written and oral communication skills
9. Ability to problem solve.
10. Ability to make decisions and/or final recommendations which affect a department.
