Position Overview

We are looking for a highly organized, proactive, and trustworthy Second Personal Assistant to join the CEO’s direct support team.

This role is not a standard administrative position. The Second PA acts as a true extension of the CEO support structure, ensuring operational continuity, efficiency, and seamless coordination in a fast-paced, high-level environment.

The Second PA will work in close collaboration with the primary Personal Assistant, sharing responsibilities and ensuring full coverage of the CEO’s agenda and priorities at all times.

; this role represents an additional support position
, designed to strengthen the back‑office, organizational, and purchasing‑related activities. The successful candidate will work in close coordination with the CEO’s existing Personal Assistant, the Buyer, and other internal teams.

This position requires a trusted professional capable of managing confidential information, working with precision, and providing structured, reliable support in a fast‑paced environment. Prior experience in similar executive or back‑office support roles is essential.

Key Responsibilities
  • Provide additional personal and administrative support to the CEO
    , in coordination with the existing Personal Assistant.
  • Manage back‑office and organizational tasks related to the purchasing function.
  • Managing communication and exchanges with top suppliers and client, including responding to emails on the CEO’s behalf. Handle professional communications with international suppliers and partners.
  • Support purchasing operations and contracts
  • Track deadlines, tasks, and ongoing projects, ensuring timely execution
  • Anticipate needs, identify risks, and proactively solve issues
  • Organize complex travel itineraries and logistics
  • Manage internal and external communications, emails, and follow‑ups
  • Prepare documents, presentations, and briefings for meetings and travel
  • Prepare reports, documents, and operational data for management review.
  • Ensure a high level of confidentiality, precision, and reliability in all activities. Handle sensitive information with absolute discretion
  • Use digital tools daily, particularly Microsoft Excel
    , to streamline processes and reporting.
Requirements
  • French: native speaker or advanced level (C1–C2).
  • Proficiency in English
    . Any other language will be a plus.
  • Previous experience as a Personal Assistant, Executive Assistant, or similar back‑office role
    , preferably with purchasing exposure.
  • Excellent organizational and time‑management skills.
  • Strong attention to detail and ability to prioritize.
  • High level of discretion, professionalism, and trustworthiness.
  • Strong knowledge of Microsoft Excel and digital tools.
  • Team‑oriented mindset with strong communication skills.
