JOB SUMMARY
The Payroll Analyst – Switzerland & Netherlands is responsible for the accurate, timely, and compliant processing of payroll for employees in Switzerland and the Netherlands. The role acts as the local subject‑matter expert for both countries, ensuring adherence to local labor laws, tax regulations, social security requirements, pension obligations, and company policies.
This position operates within a SOX‑controlled payroll environment with clearly defined segregation of duties and serves as the primary point of contact for payroll‑related employee inquiries, statutory authorities, and third‑party providers. The role partners closely with HR Business Partners, Finance, Data Management, and external vendors to deliver high‑quality payroll services while ensuring data integrity, confidentiality, and audit readiness.
MAIN CHALLENGES- Managing the complexity of two distinct payroll jurisdictions with different regulatory, tax, pension, and social security frameworks.
- Operating within a strict SOX control environment, requiring documented controls, audit trails, and disciplined execution.
- Delivering accurate payroll outcomes while relying on upstream data ownership by the Data Management team, requiring strong coordination and escalation.
- Meeting tight payroll, statutory, and year‑end deadlines while maintaining high accuracy and compliance.
- Responding to payroll inquiries from employees, HR, and Finance with professionalism and empathy amid regulatory complexity.
- Supporting internal and external audits with complete, accurate, and traceable documentation.
- Adapting to ongoing legislative changes, system enhancements, and process improvements.
- Ensuring compliance with GDPR and data privacy requirements across systems and vendors.
- Process end‑to‑end monthly payroll for Switzerland and the Netherlands in compliance with local legislation and company policies.
- Ensure accurate calculation, processing, and payment of statutory deductions and employer contributions, including:
- Switzerland: AHV/AVS, IV, EO, ALV, BVG/LPP, accident insurance, and withholding tax (Quellensteuer).
- The Netherlands:
Wage tax (loonheffing), social security contributions, UWV, pension contributions, and other related payroll components.
- Operate within a SOX‑controlled environment, ensuring compliance with internal controls and segregation of duties between Data Management and Payroll Processing.
- Review payroll‑relevant data received from the Data Management team to ensure completeness, accuracy, and reasonableness prior to payroll execution.
- Coordinate with payroll vendor to execute payroll runs, off‑cycle payments, adjustments, special payments, and G/L postings.
- Prepare monthly payroll G/L reports, variance analyses, reconciliations, and provisions, and submit results to Finance/Accounting.
- Coordinate statutory filings, declarations, and payments with:
- Swiss social insurance institutions, tax authorities, pension funds, and insurers.
- Dutch Tax Authorities (Belastingdienst) and pension providers.
- Manage employee payroll impacts related to hiring, changes, leaves, transfers, and terminations in collaboration with HR Business Partners.
- Perform payroll validations, quality checks, and control activities before seeking managerial approval.
- Support year‑end activities, including annual wage statements, tax certificates, pension and social security reconciliations, and audits.
- Act as the key point of contact for external payroll vendors and statutory third parties.
- Provide high‑quality customer service by resolving payroll inquiries accurately, professionally, and within defined service levels.
- Maintain payroll documentation and audit evidence in compliance with internal standards, local regulations, and GDPR.
- Proactively identify opportunities for payroll process improvement, standardization, and efficiency across both countries.
- Participate and contribute effectively in projects, initiatives, and ad hoc assignments to support team and business objectives.
