Position: Processing Assistant III (Maternal Health Program)

Position Overview

The Office Processing Assistant III will serve primarily to assist with the Maternal Health Program and to provide clinical and clerical assistance for all clinics of the Jackson County Department of Public Health as needed. The position performs a variety of nursing and clerical tasks in recording and maintaining patient data, reports, and providing information to individuals and families who are recipients of local health services.

The clinics of the Jackson County Department of Public Health include: general clinic, immunizations, family planning, adult health, prenatal, communicable disease, employee health, STD, BCCCP, Wise Woman, and other services such as sports physicals, school health assessments, etc.

Grade 16

Work Schedule:

Forty hours (40) hours per week with the option to work four (4), ten (10) - hour days from 7:00 am until 5:30 pm with thirty (30) minutes for lunch; or five eight (8)-hour days, Monday through Friday from 8:00 am until 5:00 pm with one (1) hour for lunch. This position is considered on call for after hour emergencies, outbreaks, etc.

The person in this position is required to work nights and weekends when necessitated.

Duties and Responsibilities
  • Retrieve and escort patients professionally and courteously.
  • Perform and documents vital signs for patient..
  • Prepare exam rooms by placing all supplies necessary for exam in the exam room.
  • Assist all providers by bring present for exam and passing necessary supplies and instruments.
  • Encourage and reassure patients during exam.
  • Complete appropriate forms and labels specimens.
  • Transport specimens and/or cultures to the laboratory and informs provider of findings or concerns.
  • Administer hearing screening per guidelines and age appropriateness.
  • Break down and cleans exam rooms and equipment per OSHA protocol.
  • Route patients to other areas of the Jackson County Department of Public Health as needed.
  • Stock patient exam rooms with numerous supplies.
  • Place posters and forms on the bulletin boards and doors.
  • Monitor lab forms and birth control forms and orders/replaces as needed.
  • Inspect supply storage rooms for needed clinic supplies and notes expiration dates.
  • Clean soiled instruments, bags/wraps instruments, autoclaves instruments and runs incubator.
  • Stock designated restroom condom dispensers as well as feminine products.
  • Maintain a book in clinic with sample forms and instructions for clinics and seldom done visits such as ECU dental visits.
  • Complete biweekly timesheets.
  • Complete monthly time study and submits in a timely manner.
  • Complete travel forms and submits in a timely manner.
  • Attend necessary workshops and in-service trainings.
  • Comply and attest to HIPAA regulations.
  • Participate in Public Health Preparedness activities as directed by agency management; this employee will be expected to work as needed during public health emergencies, which may result in extended hours and long work shifts
  • Perform other duties as assigned by supervisor, Health Director, or Deputy Health Director
Education and Experience

High school graduation or General Education Development (GED) diploma, completion of one year formal training course in medical office assisting at a community college or technical institute; or High school or General Education Development (GED) diploma and a combination of one year of clerical and health/dental related experience; or an equivalent combination of education and experience.

Knowledge,

Skills and Abilities
  • General knowledge and awareness of the principles and practices of patient care and techniques of practical nursing
  • General knowledge of common health and safety precautions in working in a local health department
  • Ability to work with staff, patients, and if needed, Program Managers
  • Ability to compile reports from clerical records
  • Ability to maintain clerical records
  • Ability to use sound judgment and empathy in dealing with patients
  • Ability to follow oral and written instructions
  • Ability to provide confidentiality and observation of HIPAA laws and regulations
