Position: Attendance Secretary - 10 Months
QUALIFICATIONS:
  • High School diploma or equivalent.
  • Demonstrated record of successful employment as a secretary.
  • Demonstrated Skills in the following:
    Construct/Compose a business letter, Edit/Correct a business letter, Excel with mail merge, Typing test (45 WPM), Google Documents, Google Calendar.
  • Knowledge of the following: general office practices, Power School, Final Forms, photocopying, scanning, and email.
  • Ability to communicate with the public in a positive and professional manner including confidentiality.
  • Ability to work without close supervision.
  • Ability to handle stressful situations.
  • Willingness to attend seminars and workshops to help with the successful operation of the department.
  • Skills in organization and the ability to oversee and coordinate student office workers.
  • Must complete all training as required by Sylvania Schools and/or the Ohio Department of Education.
  • JOB GOAL: To assist the building administration in the educational process of secondary students by maintaining accurate student attendance records.

    RESPONSIBILITIES:
  • Act as liaison between the Assistant Principal, Dean of Students, students, parents, and other school-related agencies through telephone and personal contact relating to attendance, absences, and truancies.
  • Maintain student information on Power School, including attendance records, names and current addresses of students, and emergency medical information.
  • Record daily student attendance on Power School and compile attendance lists. Utilize the use of the Phone Alert System and/or verify student absences by phone with parents and in writing upon students' return. Maintain files of absence notes.
  • Daily parental verification of student absences.
  • Assist students with admit slips, dismissal slips, signing out for appointments, illness, tardy admissions, passes, and class permits.
  • Maintain and update student attendance files and class schedules.
  • Maintain records of student lockers and their combinations. Update student locker combinations at the end of the school year.
  • Administer basic first aid to students and make parental contact as needed.
  • Supervise student office workers.
  • Typing and/or word processing of correspondence, forms and reports, including repeat absence day letters and student parental discipline forms as needed.
  • Coordinate homework for extended illnesses and/or reassignment.
  • Coordinate and oversee parking permits in conjunction with the assistant principal.
  • Responsible to enter personal absences and clock in/out via the Red Rover System.
  • Responsible to check your district email account on a regular basis, and to communicate as needed via email.
  • Perform such other tasks and assume such other responsibilities as necessary by the building administration for the successful operation of the Attendance Office.
