Associate Specialist - Accounts PayableThis role provides effective, efficient, and accurate financial transactions. The Associate Specialist will report directly to the Accounts Payable Manager and is responsible for financial, administrative, and clerical services to ensure accurate and up‑to‑date finances, enabling timely supplier payments.
Position Responsibilities- Ensuring timely and accurate imaging of invoices and supporting documents.
- Entering invoices into the system after validating that the invoice, receiving report, and purchase order properly match.
- Proposing GL accounts and cost centers by analyzing invoice or purchase order text.
- Resolving pricing discrepancies between supplier invoice and JMA purchase order by working with the Purchasing department.
- Resolving quantity discrepancies between supplier invoice and JMA receiving report by working with the Receiving department.
- Paying vendors while monitoring discount opportunities and confirming credits for outstanding discrepancies.
- Reconciling supplier accounts by verifying monthly statements and internal receiving documents.
- Responding to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment and calculating/validating sales tax.
- Assisting in the monthly financial statement closing process by preparing assigned reports or providing documentation as directed by the Director of Accounting.
- Protecting the organization’s value by maintaining confidentiality.
- Identifying opportunities for continuous process improvement and collaborating with other teams to implement and monitor new processes and procedures.
- Other duties as assigned.
Education and Experience
- Bachelor’s Degree in Accounting preferred and/or Associate’s Degree with relevant work experience in Accounts Payable.
- Preference given to candidates with a background in manufacturing, telecommunications, or a similar industry.
- Ability to work independently and thrive in a fast‑paced, dynamic team environment.
- Problem‑solving methodology and strong analytical abilities.
- Strong computer skills with familiarity in Windows‑based programs such as Microsoft Excel, Word, Access, and Outlook.
- Additional preference for familiarity with manufacturing or ERP systems and data entry/collection from such systems (SAP, Medius, Flow, Concur, etc.).
- Meticulous attention to detail and accuracy.
- Strong organizational and planning skills.
- Information collection and management abilities.
- Problem identification and resolution skills.
- Written and verbal communication skills.
- Fast‑paced office environment.
$62,000 - $63,000 a year
