Job Summary

The Administrative Assistant is responsible for providing a diverse range of administrative and clerical support to office staff.

Essential Functions of an Administrative Assistant
  • Answer all incoming Service calls and respond to messages; initiate job requests in system; schedule appointments
  • Work closely with Service Director for assigned tasks and projects
  • Track next steps and scheduled activities to ensure projects move forward
  • Update and manage project tracking spreadsheets and staff calendars
  • Manage/Reconcile and submit expense reports
  • Assist Team Managers in various administrative duties
  • Schedule and coordinate staff and other meetings
  • Prepare communications, such as sales quotes, PO’s, emails, invoices, reports and other correspondence
  • Prepare information and research as requested
Qualifications
  • HS diploma or GED
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, and Outlook.
  • Outstanding organizational skills, attention to detail and the ability to multi-task.
  • Superior communication skills, both written and verbal, as well as excellent reading and comprehension skills.
  • Must be a team player
  • General accounting knowledge, preferred
  • Experience with CRM databases, preferred
