Program Administrative Assistant

Exalt is seeking a Program Administrative Assistant as part of a board endorsed strategic plan for expansion into Syracuse, NY. The Program Administrative Assistant will be responsible for supporting the program team with the administrative, logistic, and general office wide support of Exalt's Syracuse location at 224 Harrison Street. This candidate will be responsible for promoting efficiency within the organization and maintaining structure to day-to-day operations.

The ideal candidate is passionate about youth development, enjoys working with young people, is enthusiastic, highly organized, detail-oriented, process driven, and technologically savvy. They will be able to masterfully handle multiple projects at the same time and shift gears as needed to accommodate the organization's evolving needs. They will possess a positive, can-do attitude and thrive in a fast-paced organization, understanding the execution of their responsibilities in the space.

The candidate must understand that contributing to the order, structure, safety, and excellence of our physical setting is essential to how we deliver on our mission.

Overall

Responsibilities Include:
  • Support office through directing calls and greeting all young people and
  • Manage flow of traffic and capacity limits for young people and staff in the space as well as ensure all are adhering to public health and safety protocols.
  • Coordinate daily program transportation logistics for participants in all active program cycles

Specifically, the Program Administrative Assistant will:

  • Be present in office 11am-7pm Monday to Friday
  • Greet and assist program participants and visitors to the office, support students in the space by conveying organizational guidelines and expectations.
  • Manage flow of student traffic to and from classrooms and restrooms and monitor space to ensure that organizational standards and expectations are being held in all common areas connected to Exalt
  • Facilitate payroll process for weekly participant stipends
  • Set-up and shut down office for incoming and outgoing staff and program participants daily, including all operational and administrative tasks needed, specific to each day.
  • Facilitate management of all office spaces and classrooms, order program team supplies, and maintain excellent office organization standards.
  • Assist with administrative tasks and projects as needed.

  • Technological experience:
    Familiarity with Microsoft Office 365, Google Suite, Salesforce, Macs, PCs, Chromebooks, Zoom, Photoshop, Adobe, or media applications preferred.

Preferred Qualifications
  • Familiarity with the youth justice field
  • Knowledge of emergency response protocols, crisis management, and effective conflict resolution skills
Compensation

Exalt offers an attractive compensation package, including a competitive salary of $48,500 commensurate with experience, plus benefits including health, dental, vision, and life insurance; HRA account; 401k matching; commuter and parking flexible spending, and paid time off.
