The Medical Receptionist is responsible for supporting office operations and works independently and interdependently with other office staff to provide efficient, cost‑effective, quality patient care.
Responsibilities- Promote a healthy work environment.
- Schedule appointments on provider schedules and review schedules based on provider preference lists, updating appropriately.
- Collaborate and communicate regularly with management regarding goals, needs, and concerns.
- Pre‑registration of patients.
- Review revenue reports to ensure charges are billed appropriately.
- Collect co‑pay and balances due for each patient.
- Check in patients for appointments and check out patients after appointments.
- Provide phone support – handle incoming and outgoing calls, record and deliver messages when personnel are unavailable.
- Scan and fax documentation, and make confirmation phone calls.
- Maintain and update provider schedules as needed.
- Performs critical job functions that lead to a streamlined and efficient patient experience.
- Demonstrates attention to detail to ensure schedules are accurate based on provider preference sheets and office standards.
- Meets performance measures in place for each job function and completes job functions by established review dates.
- Works collaboratively with staff and management.
- Maintains confidentiality related to patients, families, employees, and information specific to the service area.
- Greets visitors and ensures that each person waits in comfort with definite expectations of when and how they will be served.
- Answers the telephone and routes calls to the proper person; records and delivers messages when call recipients are unavailable.
- Uses appropriate diction and grammar in conversations.
- Employs professional manners and tact in all dealings.
- Obtains necessary information while remaining courteous, and models calmness during interruptions caused by other calls or events.
- Is customer‑service oriented and adheres to the hospital confidentiality statement.

Equipment & Skills- Proficiency with PC terminals, telephones, copier, e‑mail system, fax machine, and typewriter.
- Knowledge of office equipment and supplies and service‑related terminology.
- Good oral and written communication skills and interpersonal skills are required.
- Adaptability to multi‑line telephones, PC and appropriate software knowledge.
- High school graduate or equivalent; business school or formal secretarial training is a plus.
- One to two years of experience preferred.
- Participates in orientation and continuing education; updates and maintains knowledge and skills related to specific areas of expertise.
- Light work – standing, walking, sitting, and lifting.
$19.00—$25.00 per hour, based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
