Job Description
Summary: The Registrar is accountable for the organization and daily functioning of student enrollment management, student data information system, and compliance with People Services requirements. Full‑time work hours must be carried throughout the entire year.
Duties and Responsibilities:
- Maintain student permanent record files, withdrawals, student records requests and re‑enrollment information in accordance with state law.
- Ensure that the New Student Enrollment process is run in a timely, complete, and accurate manner, including lottery preparation and execution and all required documentation.
- Maintain required records in the Student Information System to ensure compliance with state, federal, authorizer and National Heritage Academies’ standards: attendance records for all students, current parent/household information, current emergency contact information, collection and management of required forms, and management of all First Day/Count Day processes and requirements.
- Maintain class schedules in the Student Information System: enter and update the master schedule, set up classes, and process student class changes in a timely manner.
- Forward pertinent personnel documents to People Services and maintain active communication with the service center.
- Maintain a current and active list of substitute teachers; manage scheduling and the substitute management system and reconcile substitute hours.
- Collect volunteer forms for all volunteers and maintain accurate lists for field trips, classroom volunteers and overnight events.
- Collect HLQ and SRQ forms, alert school liaisons of any qualifying students.
- Ensure all parents fill out a Free & Reduced lunch form each year.
- Communicate effectively through prose and email, create memos, email blasts, newsletters, and serve as front line for tours and information queries both in person and on the phone.
Occasional travel required.
Qualifications:
- Associate’s degree and/or 2–4 years experience in an Office Lead or School Administrative position.
- Spanish speaking preferred.
- Proficient with Microsoft Office products.
- No certificates, licenses, or registrations needed.
- Respond to common inquiries or complaints from parents.
- Communicate and work effectively with students, parents, principal, and teachers.
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
- Define problems, collect data, establish facts, and draw valid conclusions.
- Interpret extensive technical instructions in mathematical or diagram form and handle abstract and concrete variables.
Salary: $48,000.00 to $55,000.00 annually, based on experience, education, internal equity and market.
