Position Summary The Assistant Registrar is responsible for all functions within the Registrar’s Office as it relates to student records, degree completion, and curriculum management. In collaboration with other Assistant/Associate Registrars, this position will support the oversight of operations within the Registrar’s Office to ensure successful and efficient performance.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS Job duties specific to this position:

Contribute to the day-to-day operations of the Registrar’s office.

Interpret and enforce Federal, State, and College policies, rules, and regulations as appropriate.

Maintain data integrity of student academic records.

Provide excellent customer service to the constituents of the Registrar’s Office (i.e. students, families, faculty, staff, external agencies, etc.) regarding student records.

Commencement and degree completion, including but not limited to:

Academic advising to support degree completion

Related communications with students, faculty, and staff to support degree persistence and student success.

Graduation applications, degree audits, degree conferrals, and data reporting.

Collaboration with campus-wide partners to ensure the accuracy and integrity of student records data associated with commencement, honors, awards, and degree conferral activities.

Processing of student hiatuses and related communications.

Study abroad and international transfer credit analysis in collaboration with various administrators and offices across campus.

National Clearinghouse and NSLDS enrollment reporting, degree verification, and error resolutions.

Maintenance of document management and workflow solutions, including OnBase, Google forms, and related technologies.

Serve as the primary liaison for student systems vendors and external partners, including National Student Clearinghouse and Parchment as well as additional technologies as needed.

Assist the Registrar’s Office with:

All communications to and from the Registrar’s office, including phone calls, emails, and official correspondences.

Maintenance of student educational records.

The identification, investigation and resolution of issues and processing errors regarding registration and records areas.

Streamlining policies and procedures to improve efficiency.

Evaluate, implement, and test new software, upgrades, and new systems utilized in the Registrar’s Office.

Development of training materials and serve as the College’s training resource for best practices within student information systems, supportive software, reporting, and solutions for student information systems (SIS) and related software.

Serve on selected college committees.

Attendance at College events as needed (some evenings and weekends).Other duties as assigned.
