Location: City of Syracuse
Overview
10‑month position from August through May. Requires on‑campus, in‑office work during regular business days/hours. The Academic Support Coordinator works as part of a team to support students, faculty, and staff by performing administrative functions related to the graduate and undergraduate academic missions of multiple Humanities departments. The role requires independent judgment, a high level of confidentiality, and strong professional relationships across campus.
The coordinator serves as a resource for faculty, staff, and students by staying current on college and university policies related to course scheduling, registration, student records, graduate admissions, and program processing. The coordinator provides analysis and recommendations regarding scheduling, enrollment, graduate program support planning, and other areas of importance to Chairs and Directors.
This position is part of a bargaining unit and is represented by the union SEIU, Local 200
United.
- Associate’s degree or equivalent plus 2–4 years relevant work experience in an academic setting.
- Experience with Microsoft Office software for word processing and spreadsheets.
- Experience with university systems used for class scheduling/academic records, and for graduate application processing and degree monitoring (desired).
- Strong time‑management, analytical, and communication skills.
- Manage class scheduling, enrollment, final exam scheduling, classroom assignments, student data inquiries, and other academic‑related issues.
- Maintain, analyze, and organize student‑related data (academic and enrollment statistics and trends) and utilize data analysis to form recommendations for course offerings, cancellations, etc.
- Provide comprehensive support for curriculum processes, including scheduling classes, processing approved curriculum changes and course catalog updates, and coordinating class date, time, and location (DTR) changes and enrollment restrictions.
- Work with faculty leaders to establish course plans each semester.
- Enter and confirm classes (including summer), verifying accurate posting of course‑related information to MySlice.
- Actively manage enrollment during early registration and registration periods.
- Process student petitions, declaration forms, and all other curricular paperwork.
- Confer with Student Records, CAS Dean’s Office, Registrar Office, Graduate School, and University Senate to clarify curricular issues, changes, and updates.
- Liaison with other schools/colleges regarding curricular changes impacting requirements.
- Work with staff from other departments to eliminate conflicts among required courses.
- Perform various administrative duties for prospective and current undergraduate and graduate students and support departmental student groups and organizations.
- Answer student inquiries.
- Provide statistical information and analysis to faculty leaders for decision‑making purposes.
- Monitor usage of scholarship credits, financial aid awarded, and graduate assistant awards.
- Process all documentation for graduate awards, including TA lines and offer letters.
- Monitor graduate program applications and support admissions processes.
- Coordinate communication to prospective students.
- Maintain accurate student records, ensuring that degree requirements are met.
- Maintain documents and procedures for undergraduate and graduate students.
- Assist faculty leadership with the management of undergraduate advisor assignments, TA assignments, undergraduate certifications and audits.
- Coordinate communications with student groups and support program event planning efforts.
- Serve as a resource for faculty, staff, and students.
- Maintain knowledge of and provide support for People Soft, MySlice, OnBase, Blackboard, SLATE, and other scheduling and curriculum procedures.
- Provide back‑up support for front desk and general office duties as needed.
- Adapt and retool as campus business processes and systems develop over time; assignments may be revised.
