Office Coordinator III
The Office Coordinator will work with a team to provide daily administrative support for the Mid State Family and Community Engagement Center (FACE Center) of the OSE Partnership, as well as for other grants and projects in the Center on Disability and Inclusion.
Education and Experience:
Bachelor's degree preferred. Associate's degree. Three years of office experience preferably in an academic environment.
Skills and Knowledge:
Solid understanding of Microsoft Teams, Microsoft Office, Outlook, Adobe Professional Suite, Canva and Google Docs, with the ability to create and revise documents. Good oral and written communication skills. Solid interpersonal skills. Good organizational skills and exemplary attention to detail and ability to multitask in a fast-paced office environment which serves a variety of projects. Ability to maintain high level of confidentiality with sensitive information.
Ability to prioritize and organize tasks associated with the FACE Center and the various CDI grants and projects, in collaboration with the FACE Center Directors, CDI directors and Office Administrative Team.
Responsibilities:
Perform administrative and clerical duties that require limited independent judgement yet some level of confidentiality. Includes assisting in email correspondence, creating training promotional materials, developing reports, managing inquiries, and mailings. Manage and coordinate calendars, generic email boxes, listservs, schedules and appointments. Respond to general department inquiries and forward complex inquiries to the appropriate project directors. Perform duties in a timely manner related to accounting, data entry, financial paperwork processing;
including purchasing, invoicing, payments, reconciliation, fiscal year close outs and set up, and communications requiring independent judgement and confidentiality. Track all expenses associated with the operation of each project and provide regular reports to the project directors. Communicate with SOE Budget office, SU Purchasing and Disbursements, and Office of Sponsored Accounting. Manage FACE Center training registration and CTLE applications, digital learning spaces, syllabus, training schedule, calendar entry and communication with FACE Center staff.
Maintain office supplies and asset management (e.g. including interfacing with MWBE Vendors for the FACE Center). Assist with event planning and on-site assistance for a variety of conferences, presentations, CDI gatherings, etc. under the direction of the FACE Center project directors and the CDI operations director.
