Education and Experience
High School Diploma with 3 years experience. Associate's degree or equivalent preferred plus 2-4 years office experience preferably in an academic environment.
Skills and Knowledge
Solid understanding of Microsoft Office and Adobe Professional suite, with the ability to create and revise documents. Good oral and written communication skills. Solid interpersonal skills. Good organizational skills, and the ability to multi-task in a fast-pace professional environment. Ability to maintain a high level of confidentiality with sensitive information. Knowledge of People Soft or related system is preferred but not required.
Responsibilities
* Serve as initial departmental representative to incoming constituencies as appropriate, and perform administrative and clerical duties that require limited independent judgment, yet some level of confidentiality. Interpret policies and procedures. Be present in the office to provide services to campus constituents. Interpret policies and procedures. Handle a variety of tasks supporting students, faculty, and staff. Which specific duties mentioned below are performed, and the time spent on each, is determined by the structure and size of the department.
* Perform secretarial duties and coordinate the office routine, which may include: managing and coordinating calendars, schedules, and appointments; making travel arrangements; assisting in the preparation and editing of correspondence; coordinating mailings and managing department listservs; hiring, training, and supervising student employees.
* Process and keep track of expenses associated with the operation of the office. Monitor and order supplies and services. Assist with planning and execution of department events.
* Enter course/class schedules into system, assist students with registration inquiries, and monitor enrollment. Coordinate graduate or undergraduate student records.
* Respond to general department inquiries. Forward complex inquiries to department representatives.
