Office Manager

We are looking for an Office Manager to support housing operations in Syracuse, New York through a contract-to-permanent opportunity. This position serves as a central point of coordination for applicant processing, resident issue resolution, rent collection activities, and accommodation requests, helping ensure compliance with housing policies and lease obligations. The role requires strong administrative judgment, clear communication, and the ability to work effectively with residents, property staff, and external parties.

Responsibilities:

  • Oversee central office functions that support multiple housing sites, ensuring resident matters and administrative processes are handled accurately and in line with established policies.
  • Manage applicant wait list activities by reviewing submissions for completeness, updating records, tracking placement status, and forwarding eligible files for eligibility review.
  • Coordinate collection efforts for overdue tenant balances by preparing notices, organizing supporting documentation, monitoring repayment arrangements, and assisting with eviction-related processes when necessary.
  • Represent the organization in Housing Court proceedings related to rent matters and maintain proper documentation for legal and administrative follow-up.
  • Receive and assess resident and applicant concerns, investigate issues involving rent, transfers, or application status, and route matters to the appropriate teams for timely resolution.
  • Work closely with property management staff to review delinquency reports, support resolution strategies, and process repayment agreements for outstanding rent.
  • Serve as a liaison for residents seeking assistance, helping connect them with internal departments and resources to address service needs and ongoing concerns.
  • Maintain accurate electronic records for applicants, tenants with past-due balances, and individuals requesting reasonable accommodations under Section 504.
  • Review accommodation requests from applicants and residents with disabilities, evaluate supporting information, and provide recommendations based on Section 504 requirements.
