Schedule:

Monday-Friday: 7:00 a.m.

- 3:00 p.m.

Our focus is supporting individuals by ways of residential housing, mental health and clinical services, and immersing our participants in community engagement. Working closely with the Office for People with Developmental Disabilities and the Office of Mental Health, we support 27 housing locations and 3 administrative buildings.

About

the Role

We are looking for a proactive employee to provide administrative support and project coordination to the Facilities team.

Responsibilities
  • Check work orders in SharePoint daily and assign work orders to specific team members
  • Document follow up of work orders in SharePoint, i.e. date expected to be completed, reason for delay, date completed, etc.
  • Maintain electronic files for fire drills, and fire and sprinkler inspections for all Agency buildings and IRAs
  • In collaboration with the Director of Facilities, ensure that all routine tasks are performed and documented within established time frames
  • Review correspondence, and handle preparation of correspondence/mailing
  • Collaborate with Finance and program management to monitor the completion of vehicle inspections, registrations, etc. within established time frames
  • Arrange for vehicle repairs, as requested by Director, Facilities
  • Maintain and track all documentation related to EMODs
  • Provide coverage for reception, as assigned
  • Perform Other Duties as Assigned
Education & Experience

High school/GED required;
Associate degree, preferred. Must have Word processing, Excel and database management skills.

Conditions of Employment

Must have a valid NYS driver's license in accordance with the Agency Vehicle and Driving policy and transportation necessary to meet program needs. Must be able to lift 50 pounds.
