Role

Description:

Our team is seeking a highly organized and detail‑oriented Construction Project Coordinator to support commercial construction projects from preconstruction through closeout. This role is heavily administrative providing essential project controls, documentation management, and communication support to Construction Project Managers and Superintendents. The Construction Project Coordinator plays a critical role in ensuring information is accurate, timely, and properly documented to support efficient, compliant, and profitable project delivery.

Key Responsibilities:

Project Administration & Coordination
  • Provide day‑to‑day administrative support to Construction Project Managers and Superintendents across multiple projects.
  • Set up and maintain complete project files (digital and physical), ensuring consistency with company standards.
  • Assist with contract administration, including preparation, tracking, and filing of subcontracts, purchase orders, change orders, and related documentation.
  • Track and log RFIs, submittals, and change requests; follow up with responsible parties to support timely responses.
  • Prepare, distribute, and file project correspondence, meeting notices, and documentation.
  • Assist with the preparation and distribution of meeting agendas and minutes for preconstruction, subcontractor, and OAC meetings.
  • Assist with maintaining project schedules, milestone tracking, and status updates.
  • Coordinate distribution of schedules, drawings, specifications, and revisions to project teams and subcontractors.
  • Support procurement activities by tracking long‑lead items, material deliveries, and vendor documentation.
  • Maintain accurate project logs, reports, and trackers.
  • Support internal audits, document reviews, and compliance requirements.
  • Assist with onboarding subcontractors and vendors into company systems.
  • Perform other administrative and coordination duties as assigned to support project delivery.
  • Assist Project Managers with cost tracking, budget updates, and documentation of project expenses.
  • Process subcontractor payment applications, lien waivers, and supporting documentation for PM review.
  • Maintain logs for contracts, change orders, insurance certificates, and payment status.
  • Support compliance with insurance, bonding, and contractual requirements for subcontractors and vendors.
Closeout & Documentation
  • Collect, organize, and track closeout documents including warranties, O&M manuals, as‑built drawings, and final affidavits.
  • Maintain punch list documentation and assist with tracking completion status.
  • Ensure all closeout requirements are satisfied prior to final subcontractor payment.
  • Archive completed project files in accordance with company procedures.
Qualifications:
  • Associate’s degree or equivalent experience in Construction Management, Business Administration, or a related field preferred.
  • Minimum of 3 years experience in construction administration, project coordination, or a similar support role within commercial construction.
  • Strong understanding of construction project documentation, terminology, and workflows.
  • Proficiency in Microsoft Outlook, Excel, and Word; familiarity with project management and accounting software preferred.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple projects and deadlines simultaneously.
