UPK Administrative Program Coordinator
Catholic Charities of Onondaga County is committed to caring for those in need while promoting human development and eliminating poverty and injustice. This role plays a pivotal part in ensuring the effective operation of the UPK and Head Start program, serving students, families, and the community.
Responsibilities- Oversee program operations, including enrollment, registration, and billing.
- Recruit and enroll eligible UPK and Head Start students, conducting intakes, managing required documentation, maintaining wait‑lists, and tracking enrollment data.
- Track and submit monthly billing to the School District of the City of Syracuse (SCSD).
- Create and maintain student files in compliance with SCSD, Head Start (HS), Child and Adult Care Food Program (CACFP), and Office of Children and Family Services (OCFS).
- Create class rosters, complete online applications, and submit required paperwork to the SCSD registration office.
- Collect and submit updated student medical records to the SCSD Health Office and send referrals to the Head Start Intake office.
- Compile and report immunization data to the New York State Department of Health.
- Attend regular meetings: weekly supervision, monthly Administrative team, monthly staff, and quarterly Management Team meetings.
- Act as a professional role model for staff and participants, uphold guidelines from funding sources, and follow Catholic Charities policies and procedures.
- Perform other assigned tasks and remain compliant with OCFS mandated training requirements.
- NYS Teaching Certification in Early Childhood Education (Birth to 2nd or N to 6th grade) with up to three (3) years of experience in a school setting is a plus.
- Administrative experience is required.
- Supervisory experience preferred.
- Valid NYS Driver’s License.
- Registered and insured vehicle.
- NYS registry clearance.
- Mobility sufficient to drive to and participate in meetings or community facilities, recognizing that not all locations may meet federal accessibility standards.

Starting pay is $24 per hour. This is a full‑time position (35 hours per week).
