Import Transportation Coordinator

The Import Transportation Coordinator independently manages international air and ocean import shipments from origin through final delivery. Serving as a primary operational contact for customers, overseas partners, carriers, truckers, warehouses, customs brokers, and internal teams, this role ensures shipment visibility, operational accuracy, compliance, and service excellence. The Import Transportation Coordinator exercises sound judgment, operational ownership, and proactive problem-solving to support business objectives and deliver a high level of customer service.

Duties and responsibilities include serving as the primary operational contact for customers and partners, providing proactive shipment updates and issue resolution; maintaining shipment visibility and communicating delays, exceptions, and delivery milestones in a timely manner; identifying transportation solutions that balance customer requirements, service expectations, and cost efficiency; supporting customer satisfaction through responsive service and proactive management of shipment risks; coordinating international air and ocean import shipments from booking through final delivery;

managing shipment documentation, customs clearance coordination, dispatching, and delivery scheduling; maintaining accurate shipment records, milestones, and operational data within Cargo Wise and related systems; ensuring compliance with customer SOPs, operational procedures, and service standards while supporting continuous improvement initiatives; investigating and resolving shipment delays, documentation discrepancies, billing issues, and service failures; implementing corrective actions to minimize operational disruptions, storage, demurrage, detention, and additional costs;

analyzing transportation challenges and developing practical solutions to meet customer and operational requirements; escalating high-risk or customer-sensitive situations appropriately while maintaining accountability for resolution; partnering with customers, overseas offices, Customs Brokerage, Domestic Operations, carriers, warehouses, and other stakeholders to support shipment execution; communicating operational updates, delivery requirements, and service exceptions clearly and professionally; supporting cross-functional initiatives that improve service, efficiency, and operational consistency;

assisting with onboarding, training, and mentorship of less experienced team members when requested; completing file rating, billing audits, P&L reconciliation, and invoice finalization within established timelines; ensuring shipment documentation, billing information, and operational records are accurate and complete; supporting operational profitability through cost awareness, accurate billing, and reduction of preventable transportation expenses; maintaining compliance with company standards, customer requirements, and financial controls;

and performing other duties as assigned.

Benchmarks for measuring success include maintaining accurate shipment visibility, milestone management, and documentation throughout the shipment lifecycle; successfully coordinating international air and ocean shipments from booking through final delivery; demonstrating strong operational knowledge of import transportation processes and service execution; maintaining responsive, professional communication with customers, partners, and internal stakeholders; proactively identifying and resolving shipment issues while minimizing service disruptions and unnecessary costs;

ensuring billing accuracy, file completion, and financial compliance within established timelines; independently managing complex shipment requirements while contributing to team success and continuous improvement.
