About the role

Join our growing administrative team in either our Tacoma or Seattle office! We re seeking a proactive and detail-oriented Project Support Administrator to provide essential support to our civil engineering, construction management, survey and geospatial, environmental, and urban design disciplines across a diverse range of public and private projects. We are looking for a candidate who collaborates well, is committed to providing exceptional work quality and taking initiative, and has excellent communication skills to help drive our current and upcoming projects forward.

Responsibilities
  • Contract & Project Administration: Process and assemble client contracts and subcontracts, review them for accuracy, and maintain an organized project-based tracking system using Smartsheet and a digital filing system.
  • Project Management Support: Assist Project Managers with their administrative needs, prioritize tasks, and support them in managing internal project processes and external client communications.
  • Procedure Development: Create and update procedures to enhance the efficiency and effectiveness of our Project Administration Team.
  • Insurance Coordination: Order certificates of insurance (COI) to ensure compliance and accuracy with the contract; track, file and manage COIs.
Minimum Qualifications
  • 1+ year of experience with contract processing
  • Familiarity with the engineering and/or construction services industry
  • Familiarity with certificates of insurance
  • Successful professional partnerships supporting Project Managers (or other leadership positions)
  • Proficiency with Microsoft Office Suite
Preferred Qualifications
  • Familiarity with Microsoft Teams and Smartsheet
  • Notary public certification
  • Bachelor s Degree in relevant field of study
