Overview
Sea Mar Community Health Centers, a Federally Qualified Health Center (FQHC) founded in 1978, is a community-based organization committed to providing quality, comprehensive health, human, housing, educational and cultural services to diverse communities, especially Latinos in Washington State. Sea Mar is a mandatory COVID-19 and flu vaccine organization. The Administrative Assistant 2 for the Managed Care Program will be housed in the Tacoma office and work under the supervision and direction of the Department Director.
- Assist with daily Managed Care Department administrative tasks; including processing and tracking volunteer activities and paperwork, program mailings, small projects, meeting and training logistics, and the Department Director with research, preparation of reports, grants and marketing materials.
- Create written materials for the Managed Care Department including monthly mail, website updates, flyers, and recruitment materials.
- Monitor inventory of office supplies, including corporate forms, and prepare orders for submission.
- Copy, collate and distribute important information to appropriate parties.
- Cooperate in coordinating logistics for CSR trainings, service projects, other special program activities and prepare all necessary materials.
- Coordinate all aspects of Managed Care Department incoming and outgoing mailings, including material preparation for promotional mailing.
- Enter data and maintain information regarding the Managed Care Calendar of planned events and media contacts.
- Recruit, organize and maintain volunteers, timesheets and exit paperwork for all volunteer members.
- Provide program information to members and other visitors to the office when Program Coordinators are not available.
- Work with minimal supervision, use good judgment, maintain confidentiality, and prioritize workload.
- Assist Managed Care Program in updating and developing compliance with Disaster Preparation standards, procedures and communicate this information to staff.
- Act as an IT Point Person and perform other duties as assigned.
- Ability to work independently and as a team member, prioritize workload, and meet deadlines.
- Highly organized and detail-oriented.
- Excellent verbal and written communication skills.
- Comfortable working in a busy, shared office space with other program members.
- Professionalism and appropriate boundaries in all interactions; willingness to network with outside community organizations.
- Solid computer skills including proficiency in Microsoft Excel, Power Point, Access, Word, Publisher and Internet; willingness to learn other programs.
- Graphic design or editing experience is a plus.
- Excellent customer service skills, both by phone and in direct interaction with visitors.
- Bi-lingual, fluent in writing and speaking English and Spanish.
- High school diploma or equivalent; coursework in English and mathematics.
- Preferred:
Degree or Certificate in Administrative Assistance or Bachelor of Arts degree. - Prior community or volunteer experience considered a plus.
- Initial TB test at hire and annual retest.
- Pre-hire and annual employee health screening required.
- Annual influenza vaccine required; employees with a medical or religious exemption approved by Administration must wear a mask during flu season.
The position may require working on weekends, or before or after the traditional working hours, and traveling to service sites.
Physical RequirementsRegularly required to communicate in person and by telephone with other individuals; may be asked to speak in front of groups; required to read, write, and use a personal computer.
CompensationHourly: $21.30 USD
