Salary Range

$26.75 - $32.13 per hour

Overview

Provide administrative support to CMA Executives, General Affairs, business travelers, expatriates, and dispatch members. Serve bilingually (English / Japanese) as duties dictate.

Duties and Responsibilities
  • Greet visitors, maintain arrival/departure log, issue visitor passes and welcome board; coordinate guard for guest arrival.
  • Maintain visitor documentation database, including Export Screening, and ensure compliance prior to allowing entry beyond lobby.
  • Answer incoming calls promptly and professionally; route calls to appropriate parties.
  • Receive, sort and distribute incoming mail; prepare, weigh and send outgoing mail and parcels with approved postage equipment.
  • Accept deliveries of materials; notify appropriate departments timely.
  • Maintain electronic visitor calendar.
  • Act as conference‑room coordinator: post daily schedules, resolve reservations, and maintain supplies.
  • Maintain reception desk and lobby in clean, orderly condition.
  • Assist relocation of Japanese expatriates and families: obtain social‑security cards, bank accounts, driver’s licenses, etc.
  • Coordinate housing needs and provide interpretation services to expatriates and guests.
  • Track and verify visa validity, immigration status, and assignment end dates for expatriate employees.
  • Provide administrative and confidential support to VPs.
  • Administer Concur online travel system, update manager information, and coordinate with travel agencies.
  • Administer CMA shop and Toray/CMA logo guidelines.
  • Promote teamwork and continuous improvement initiatives.
  • Backup corporate website administrator.
  • Assist planning and execution of company‑wide events.
  • Attend Safety Committee monthly and report to GA meetings.
  • Coordinate charity events for local schools.
  • Support corporate social‑responsibility programs for Japanese community, local community, and State of Washington.
  • Enter maintenance work orders for equipment and facility repairs.
  • Perform any additional duties assigned by supervisor.
Skills and Specifications
  • Bilingual communication (English / Japanese), understanding of Japanese business culture and professional etiquette.
  • Administrative or secretarial experience in a Japanese business environment preferred.
  • Honesty, integrity, professionalism, and accountability.
  • Strong interpersonal and customer‑service skills; ability to build positive relationships across all levels.
  • Team‑oriented and collaborative, with a positive attitude and willingness to support colleagues.
  • Dependable, adaptable, capable of managing priorities, schedules, and changing business needs.
  • Strong organizational, problem‑solving, and time‑management skills; commitment to high‑quality work.
  • Job tasks are routine with minimal variations; low complexity.
Education and Qualifications
  • High school diploma or GED required.
  • Minimum three years of office support experience.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) required.
  • Candidate information subject to U.S. export‑control screening per Toray CMA policy.
Physical Demands

Office environment; requires reading, writing, speaking, and understanding English; use of computer and peripheral equipment; data entry; occasional lifting up to 10 lb; occasional hand/finger movements; vision focus.
