The Staffing Assistant plays a vital support role in the Staffing Department by assisting the Staffing Coordinator with daily scheduling tasks, caregiver communications, and shift coverage. This individual is proactive, detail-oriented, and ready to step in and provide shift coverage to maintain continuity of care for clients.

- Assist the Staffing Coordinator with creating and maintaining caregiver schedules across all shifts.
- Communicate with caregivers regarding shift assignments, schedule changes, and coverage needs.
- Monitor callouts and coordinate timely shift coverage to prevent service disruptions.
- Serve as the first backup to fill in for emergency or last-minute open shifts if other coverage is unavailable.
- Update scheduling systems and maintain accurate records of caregiver availability and assignments.
- Collaborate with the HR and Care Management teams to ensure caregiver compliance (e.g., credentials, availability).
- Maintain a professional and respectful approach when engaging with clients and staff.
- Participate in on-call rotation, if applicable.
- Support onboarding of new caregivers by helping them transition smoothly into the schedule.
- Provide general administrative support to the staffing department, including data entry, shift confirmations, and status tracking.
- Other duties as assigned to support the operations of the staffing department and organization.
- A high school diploma or equivalent is required; an associate degree or higher is preferred.
- Previous experience in caregiving, scheduling, or healthcare staffing is strongly preferred.
- Strong interpersonal and communication skills.
- Ability to problem-solve under pressure and respond quickly to schedule changes.
- Comfortable working in a fast-paced, team-oriented environment.
- Flexibility to work varied hours or cover shifts on short notice, including evenings or weekends as needed.
- Proficient in Microsoft Office Suite and scheduling software.
- Team player with a positive, solution-oriented mindset.
- Reliable, punctual, and committed to client care and operational excellence.
- Empathetic and understanding toward caregivers and client needs.
