We are looking for a Receptionist/Administrative Assistant for our HQ office in Santa Clara, CA, reporting to the HQ Facilities lead. In this role, you will own front desk reception duties, assist the office with various administrative tasks, and ensure a great experience for our employees, incoming callers, and visitors. What you’ll do:

  • Act as the “face of Infoblox” for the People & Places (P&P) team, overseeing the office and the reception desk
  • Maintain the security and safety of the office at all times
  • Monitor badge access inventory for vendors and contractors and assist with maintaining a keen sense of security for the building
  • Assist as a key contributor to the Emergency Response Team (ERT)
  • Ensure the timely and accurate delivery, packaging, receiving, and shipment of various materials and documents, and work with employees and vendors to resolve shipping and receiving matters and discrepancies
  • Maintain regular maintenance and general upkeep throughout the facility to ensure a clean and safe working environment
  • Perform weekly facilities onboarding and offboarding to new hires and terminated employees and assist with desk set up and take down
  • Monitor office services, including snacks, office supplies, catering, and lunch orders
  • Coordinate events, including trainings, all employee meetings, onsite and offsite group events, and catering
  • Support the Talent Acquisition and HR teams with onboarding, scheduling interviews, and setting up new employees; help run sustainability, environmental, and community awareness programs; and assist the Facilities team and employee base with various administrative tasks and initiatives

What you’ll bring:

  • Good computer/administrative skills, and experience with with Microsoft Office and Envoy Front Desk Security Sign System
  • Excellent interpersonal and communication skills, both written and verbal
  • Some experience with audio-visual equipment or comfort learning to operate and field questions
  • A customer service mindset and the ability to solve problems and anticipate others’ needs
  • Experience receiving visitors, multitasking, and handling conflict
  • 1-2 years of front desk or job-related experience required

What success looks like:

After six months, you will…

  • Have a general understanding of Facilities-related software such as Envoy, S2, and Office Space
  • Assist in meeting/event support and daily operations
  • Participate in the ERT program
  • Assist in team projects for the P&P team
  • Understand who key contacts are and where to direct inquiries

After about a year, you will…

  • Be a subject matter expert in one or more programs/applications
  • Independently plan and manage smaller events and meetings
  • Manage the Facilities calendar for tracking events/notifications
  • Have working knowledge of Oracle, Concur, and Office 360 suite
  • Actively participate in learning and development programs to improve job skills
