Shared Services Administrative Assistant

As a Shared Services Administrative Assistant, you will:

  • Answer phone calls, provide information to callers or connect callers to appropriate people. Forward messages as needed.
  • Model and encourage direct, professional communication among staff members and facilitate development of a positive staff support network.
  • Open and distribute mail for LCSNW Corporate Office.
  • Welcome and direct visitors and vendors at the LCSNW Corporate Office.
  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
  • Respond to and resolve administrative inquiries and questions.
  • Coordinate and schedule travel, meetings, and appointments for directors, managers or supervisors.
  • Prepare agendas and schedules for meetings.
  • Record and distribute minutes or other records for meetings.
  • Maintain office supplies and coordinate maintenance of office equipment.
  • Maintain kitchen supplies and upkeep. Assist or coordinate light custodial service as needed.
  • Provide back-up to Sr. Executive Assistant as needed.
  • Maintain filing systems as assigned.
  • Reconcile monthly bank statements for the agency credit cards as directed.
  • Distribute incoming and outgoing shared services mail and faxes
  • Maintain confidentiality of job-related information.

To be a great fit, you should have:

  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Suite or related software.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Bachelor's degree in business administration or relevant education.
  • Work experience in a field which meets the required functions and professional responsibilities of the position may substitute for education.
  • Minimum 3-5 years' administrative experience assisting executive or staff personnel.
