The core responsibilities for the job include the following:
Executive Calendar and Priority Management- Own and manage the CEO's calendar, ensuring optimal prioritisation of meetings, focus time, and travel.
- Proactively resolve scheduling conflicts and maintain alignment with business priorities.
- Anticipate scheduling needs and prepare the CEO ahead of upcoming commitments.
- Coordinate recurring leadership meetings with Product, Program, and other key teams.
- Organise periodic leadership check-ins, planning sessions, and team discussions.
- Support cross-functional coordination across teams when needed.
- Supporting quarterly town hall meetings: sending invites, surveys and reminders. Sharing regular updates with the leadership.
- Schedule and coordinate regular review meetings with investors, customers and board stakeholders.
- Prepare meeting logistics, ensure materials are distributed in advance, and capture key follow-ups.
- Maintain a high level of professionalism and responsiveness in communications.
- Help create structured engagement with the CEO's direct team, including product, program, and leadership staff.
- Managing expenses and appropriate reporting and bill settlement with vendors as per the company process
- Coordinate vendor engagements and maintain a tracker of vendor relationships and contract renewal dates.
- Support contract renewals and ensure timely follow-ups with internal stakeholders.
- Plan and coordinate domestic meetings as well as international travel for the CEO/senior leadership, including flights, accommodations, and itineraries.
- Support event management activities that involve leadership presence.
- Travel management and meeting coordination for the CEO and leadership team.
- Strong communication skills, esp. written.
- Strong planning, coordination, and organisational abilities.
- Excellent time management and prioritisation skills.
- High level of ownership, initiative, and accountability.
- Ability to work independently in a remote environment.
- Comfort working across time zones and global stakeholders.
- Strong attention to detail and follow-through.
- Experience supporting C-level executives or founders.
- Experience coordinating with global teams.
- Strong stakeholder management and relationship-building skills.
