Position Summary
Provides clerical support and records management for the operation of the Tribal Court, and supports the Chief Court Clerk, Court Administrator, Chief Judge, Associate Judges, and Pro Tempore Judges.
Essential Duties and Responsibilities- Maintain confidentiality, impartiality, and court records, files, and documents.
- Accurately record details of all courtroom proceedings.
- Maintain court calendar and prepare docket one week in advance.
- Oversee issuance of summons, subpoenas, orders, and other documents.
- Receive and review court filings for completeness, determining acceptance or denial.
- Enter, retrieve, correct, and update information in manual and automated systems.
- Handle fines and fees, completing accounting and record‑keeping.
- Assist the public, attorneys, law enforcement, social services, and agencies with filings, providing guidance without legal advice.
- Affix stamps and seals, file originals, and provide copies to filers.
- Verify and update data in record‑keeping systems.
- Prepare and review court documentation (orders, etc.) as directed by the presiding judge.
- Contact participants, attorneys, and witnesses by phone or email as required.
- Assist with legal and administrative needs of jury trials.
- Attend trainings, meetings, and uphold court policies.
- Operate copiers, computers, Zoom audio/video, phones, and fax machine.
- Perform other duties as assigned.
- LevelII:
Serves as resource and trainer for LevelI staff when the Chief Court Clerk is absent; handles more complex cases; assists with fund deposits and drafting standard operating procedures. - LevelIII:
Provides backup to the Chief Court Clerk, may act in that role when needed; performs research and projects; serves as subject matter expert.
- High School Diploma or GED required.
- Minimum two years of related experience for LevelI; at least two years of Court Clerk experience for LevelII; six years for LevelIII.
- Associate’s Degree, Bachelor’s Degree, or equivalent education and experience may satisfy requirements.
- Intermediate to advanced proficiency in Microsoft Word, Excel, Access, etc.
- Advanced proficiency with court automated processing servers (e.g., Full Court Enterprise) for LevelII and III.
- Ability to learn Court processes quickly and produce accurate work.
- Experience with Tribal Courts and/or tribal communities preferred.
- Demonstrated skills and performance evaluation at contributory level within last six months required for promotion to higher levels.
- Strong work ethic, initiative, punctuality, time‑management, attention to detail.
- Excellent oral and written communication and customer‑service skills.
- Ability to work independently and within a team; handle stressful situations while maintaining composure.
- Background check approval required.
- Interact tactfully and positively with Tribal members and staff.
- Read and interpret operational documentation.
- Write routine reports and professional correspondence.
- Present information effectively to groups or coworkers.
- Perform basic calculations, rates, ratios, percentages.
- Interpret bar graphs and solve practical problems with limited standardization.
- Employee sits frequently; uses hands to handle tasks; stands, walks, and reaches occasionally.
- Requires close and distance vision, color vision; ability to adjust focus.
- Must lift and carry up to 25 pounds.
- Noise level moderate. Work performed in an office setting.
