WHO WE ARE LOOKING FOR

The Executive Administrative Assistant (EA) is a critical individual contributor role supporting multiple members of the C‑suite executive team at a rapidly scaling electric vehicle startup. This position requires exceptional judgment, professionalism, and the ability to operate with discretion in a highly dynamic, fast paced environment. The ideal candidate blends worldclass executive administrative support with strong project management capability, working seamlessly with C‑suite leaders, investors, board members, and cross‑functional teams.

This role is responsible for ensuring the C‑suite leadership team's time, priorities, workflows, and communications are optimized for maximum impact while also leading select projects that advance organizational effectiveness. The EA will navigate competing priorities across executives, acting as a central coordination hub for the leadership team.

WHAT YOU GET TO DO
  • Manage complex, dynamic calendars for multiple C‑suite executives across multiple time zones, including strategic time blocking, meeting prioritization, proactive conflict resolution, and cross‑executive coordination.
  • Coordinate and execute executive meetings, offsites, board engagements, and internal/external events, including all associated travel, logistics, agendas, materials, and briefing documents.
  • Prepare, edit, and distribute meeting agendas, notes, summaries, and executive‑level communications.
  • Track deadlines and deliverables across C‑suite executive portfolios, ensuring visibility and accountability for each leader's priorities.
  • Draft and refine presentations, reports, and documents for multiple audiences, including board members, investors, and senior leadership.
  • Serve as a trusted liaison between C‑suite executives and internal/external stakeholders, ensuring timely follow‑up, strong alignment, and consistent communication flow.
  • Screen and prioritize incoming communications, requests, and issues, escalating or resolving independently when appropriate.
  • Maintain strict confidentiality with sensitive business information, personnel matters, and strategic initiatives.
  • Unlock additional time for C‑suite executives to focus on high‑impact strategic responsibilities by proactively managing administrative tasks, anticipating needs, and resolving issues before they escalate.
  • Expected to be consistently available and responsive, providing whatever support is required, whether administrative, logistical, or strategic, to ensure each member of the C‑suite executive team can operate effectively and focus on their highest‑priority responsibilities.
  • Must exercise sound judgment in balancing competing demands across multiple executives.
  • Assist in preparing, editing, and distributing meeting agendas, notes, summaries, and executive‑level communications.
WHAT YOU BRING TO THE TEAM

Experience 10+ years in executive or administrative support roles, with at least 3 years’ experience simultaneously supporting multiple C‑suite executives. Background in high‑growth, fast‑paced, technology or manufacturing environments (EV, automotive, technology, energy, or mobility experience a plus).
