Position Overview

CARIAN is seeking a Construction Project Assistant to support our on-site Construction Management team on utility infrastructure projects.

This is a junior-level support role focused on field coordination, project documentation, recordkeeping, and communication. The Construction Project Assistant will work closely with CARIAN Construction Managers, accompanying them during field activities and helping ensure observations, findings, drawings, action items, and project communications are accurately documented, organized, and distributed.

The ideal candidate is dependable, organized, detail-oriented, comfortable working in both field and office environments, and able to manage multiple administrative and project-support activities with accuracy and professionalism.

Key Responsibilities
  • Accompany Construction Managers during feeder walkdowns, field inspections, and other site activities.
  • Prepare findings documents using field notes, photographs, meeting notes, and direction from the Construction Manager.
  • Organize and maintain construction drawings, prints, and related project documentation.
  • Prepare and distribute construction findings and supporting documents to engineering and project teams.
  • Coordinate with engineering teams regarding discrepancies and follow-up items identified by the Construction Manager.
  • Track communications and action items involving Construction Management, Engineering, Project Management, and other stakeholders.
  • Maintain accurate project records, action-item logs, meeting minutes, and supporting documentation.
  • Coordinate schedules, meetings, and communications among Construction Managers, Project Managers, engineering personnel, and other project stakeholders.
  • Support project documentation, reporting, and applicable compliance requirements.
  • Provide additional administrative and project support to the Construction Management team as needed.
Qualifications
  • 0–2 years of relevant professional experience; entry-level candidates with strong organizational and communication skills are encouraged to apply.
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Proficiency in Microsoft Word and Excel, including data entry, spreadsheet management, and basic formulas.
  • Strong organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and commitment to accurate documentation.
  • Ability to follow direction, manage multiple priorities, and meet deadlines.
  • Comfort working in both office and field environments.
  • Experience using electronic systems or platforms for documentation, tracking, or reporting.
  • Reliable transportation and willingness to travel to project and field locations within the assigned work area.
Preferred Experience
  • Previous experience in an administrative, project support, construction support, engineering support, or similar role.
  • Experience coordinating activities or communications across multiple teams or stakeholders.
  • Experience with documentation, records management, meeting minutes, or action-item tracking.
  • Familiarity with construction, utilities, engineering, or other technical environments.
  • Exposure to construction drawings or other technical documentation.
