Pay: $27.95 - $32.65
The Senior Contract Billing Coordinator is responsible for facilitating the Single Line Billing (SLB) function for customers who pay by PO and ensuring that the billing is performed timely and properly reconciled to the agreed upon price with the customer.
This person is responsible for delivering a high level of customer service and sense of urgency to the Sales Team, Account Management Team, and all employees and contractors that they may encounter.
The optimal Contract Billing Coordinator is someone with above-average organizational skills, detail-oriented, and able to complete tasks accurately with minimal supervision. Initially this individual must be adaptable and forward thinking in their approach to the necessities of the position. They must be willing to try new ideas and have a strong desire to work together with both sales and the AMT group, all while continually providing Legendary Service Through Teamwork.
Duties and Responsibilities Setting up the internal and external jobs for all Single Line Billing accounts
Ensuring that all Billing Sheets submitted are properly completed
Tracking billing dates
Reconciling the amount billed on the internal account as compared to the PO amount for the job Submitting any true-up amount required to the AMT group
Facilitates the billing to the external customer account
Work with CSR and Sales Coordinators on job set up, roof load delivery dates, and variances to POsTracks all closed Contract Billed jobs for the RSM and Director to provide a monthly recap of profitability and sales
Utilizes ERP, Outlook, and Excel as a requirement of the position
Assists the AMT team as required on any variance or reconciliation required
Works directly with Contractor Sales Reps, Sales Coordinators, AMT and regularly with Regional Sales Managers, Directors, and all other departments as needed
Facilitating training and development of the Contract Billing Coordinators Work with Sales Managers and teams on process improvements
Process quarterly reporting of customer rebates
Facilitate the monthly Supplier Support Agreement (SSA) program
Support Sales Managers with relevant administrative tasks
Perform other related duties as assigned
Qualifications
Bachelor’s degree preferred
Experience in the building material industry preferred
Proficiency in Microsoft Word, Excel, and Outlook Must be able to type 40+ WPM Mathematically proficient
Ability to speak, write, and read English required
Must be able to operate personal computer, telephone, photocopier, fax machine, scanner, and any other office equipment necessary for the job Knowledge of retail and contractor sales principles, practices and protocols
Knowledge of dimension lumber, panel products and other building materials
Interpersonal Skills Ability to work cordially, professionally, diplomatically and with a high level of customer service in a dynamic environment, displaying sound judgment in dealing with sensitive business matters with internal and external customers of all types
Ability and willingness to change processes, tools and/or procedures in an effort to improve the workplace and outcomes for our customers
Ability to superbly communicate with all levels of management and employees and speak effectively in front of groups – communication can include, but is not limited to: in-person verbal and non-verbal, written, email, telephone, and public speaking to medium size groups
Strong focus, planning, organizational and time management skills with the ability to manage changing priorities, handle multiple projects, do what is necessary to meet deadlines and adapt to a changing business environment
Ability to function independently and as part of a team with a positive attitude, patience, a strong work ethic and a commitment to excellence
The ability to think and respond quickly to constantly changing circumstances
