Responsibilities
- Maintain and file paperwork, project documents and certified payroll.
- Monitor, track and send all prepared and received Certified Payroll as required.
- Prepare and turn in weekly payroll to accounting, ensuring all timecards follow the union MLA guidelines.
- Coordinate with Human Resources to meet client/project labor requirements and adherence of the company local hire policy at project sites.
- Support Project Managers & Estimators by obtaining pricing for the development of cost estimates.
- Develop and maintain project plans, including timelines, project phases and activities using Critical Path Management techniques and company‑designated software programs.
- Ensure all required documents are received from subcontractors prior to starting on‑site work.
- Assist in coding invoices to properly track project expenses against the budget.
- Monitor, track and send all job‑related invoices and turn in approved invoices to Accounts Payable in a timely manner.
- Prepare and turn in all expense reports and personal mileage reports for the Civil Project Managers to code and submit each month.
- Manage contract document compliance; file Intents and Affidavits for all civil jobs.
- Assist Project Managers in managing Lien Releases and Pay Applications each month for civil jobs.
- Assist in verbally communicating effectively with clients.
- Assist in developing presentations for outside agencies and internal communications.
- Coordinate and attend client meetings; record action items and execute follow‑through.
- Collect required documentation from subcontractors, clients, or vendors.
- Assist with new job/office setup including materials, supplies, local service account setup and communication.
- Coordinate creation, setup and use of folders for the company shared drive and Procore.
- Coordinate office setup requirements such as hardware, software, internet, cell phones, desk phones and laptops for satellite offices or job sites.
- Prepare and review closed jobs reports for continuation of close‑out and funds collection.
- Maintain all government base passes and documentation.
- Responsible for setting up accounts with vendors as needed.
- Develop and maintain positive working relationships with co‑workers and other departments.
- Plan, coordinate and prioritize multiple projects simultaneously.
- Assist President and all staff with any issues that arise requiring immediate action.
- Work in a constant state of alertness and maintain a safe manner.
- Perform other duties as directed.
- Supervisory Functions:
This position does not have supervisory responsibilities.
Minimum Qualifications:
- High School Diploma or equivalent.
- Two (2) years’ experience in a similar position.
- Valid state driver’s license and compliance with the company driving policy.
- Ability to pass drug, driving and background screening.
Preferred Qualifications:
- Bachelor’s degree in Construction Management, Engineering or related field.
- Experience with project management software such as HCSS, P6 and Procore.
- Prior work experience in the civil construction industry, including operations, accounting, estimating and financial analysis.
- Prior construction industry experience.
- Advance knowledge in various field construction concepts, practices and procedures.
- Advanced knowledge and skills in computerized accounting systems, financial reporting and project management systems.
- Ability to read construction plans and specifications.
- Excellent analytical and technical skills.
- Strong project management and organizational skills.
- Exceptional time‑management skills.
- Excellent oral and written communication skills.
- Ability to work in a team environment.
- Good working knowledge of business software applications used by the company.
- Ability to learn new applications and procedures.
- Ability to perform basic math and calculate percentages.
