Position Overview:The Membership Coordinator plays an essential role in creating a welcoming, responsive and, exceptional experience for NCA members and prospective members while helping foster meaningful connections between members and the association. This position provides day‑to‑day support for membership growth, retention, and operations. The coordinator frequently serves as a first point of contact for NCA members and prospective members and must approach every interaction with patience, professionalism, empathy, and a genuine desire to help.
The ideal candidate must be eager to learn, willing to jump in where needed and take ownership of outcomes, while remaining calm as priorities shift. They should be proactive, highly collaborative, impeccably organized,
have a keen eye for detail, and boast superior hospitality and customer service skills.
The Membership Coordinator will report to the Manager of Meetings & Membership.
Key responsibilities include but are not limited to:Membership Support & Operations
- Manage the membership inbox and provide prompt, solutions‑oriented assistance with explaining member benefits, dues structure and navigating the NCA website and member portal.
- Process new member applications accurately and efficiently, including database entry, invoice creation, and onboarding.
- Support the membership team with annual membership dues renewal campaign.
- Support data cleanliness by maintaining accurate member and company records, including contact information, company rosters and membership status.
- Prepare monthly membership reports to senior management.
- Assist with the management of NCA committees and affinity groups, including communications, roster maintenance, meeting materials and follow‑up.
- Support updates to membership materials, resources and collateral to ensure information remains accurate and engaging.
- Identify opportunities to improve member experience and recommend enhancements to member processes, communications, and resources.
- Assist with pre‑registration for events via light data entry in the association’s database.
- Support the printing and packing of event materials and equipment.
- Provide on‑site registration support as needed (i.e., at the registration desk/counter).
- Collaborate with colleagues across departments and provide support for other membership‑related projects as assigned.
- 1‑3 years of experience providing comparable administrative and logistical support
- Customer service experience required
- Meticulous organization and attention to detail
- Excellent written and verbal communications skills
- Strong project management skills and ability to juggle multiple, shifting priorities
- Proactive approach and “can‑do” attitude
- Results‑oriented and strong self‑management skills
- Team player who thrives in a high‑energy, multitask and collaborative work environment
- Demonstrated ability to build positive relationships and provide exceptional services to members, customers, volunteers, or other stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, etc.) and Zoom
- Knowledge of association management systems, particularly iMIS, a plus
- Your work will directly shape how members experience NCA, from their first inquiry through ongoing engagement and year‑over‑year renewal.
