Appointment:
Regular, full-time (1.0 FTE) position.

Work Location:

This position is based in Tacoma, WA, and is an on-campus role only.

Please note that we generally do not sponsor applicants for work visas for staff positions. Therefore, we generally require applicants for staff positions to be currently authorized to work in the United States on a full-time basis.

Position Summary:

The office's expert in complex academic interpretation, responsible for evaluating and articulating all academic work earned outside the university, and ensuring accurate application of external education policy. This position serves as the institutional authority for applying external academic rules, directly influencing student time-to-degree and enrollment decisions. The Transfer & External Education Coordinator is critical to meeting enrollment goals by ensuring a smooth, accurate, and compliant credit evaluation process for all incoming students.

Essential Job Functions and Responsibilities:

I. External Credit Evaluation & Articulation

* Complete academic evaluations of all undergraduate and graduate applicants for admission based on external secondary and post-secondary credentials.

* Review and evaluate credentials submitted through centralized application services (e.g., OTCAS, PTCAS).

* Evaluate and post transfer course documentation from current students (e.g., summer courses taken elsewhere).

* Manage communication and collaboration with academic departments to determine appropriate course equivalencies.

* Maintain and update the People Soft Transfer Articulation Tables and manage external transfer systems (e.g., Transferology).

II. Policy Interpretation & Advising

* Serve as the primary resource for complex policy questions related to transfer credit and prerequisite fulfillment.

* Advise prospective and current students, and internal advising staff, on transfer policy and meeting minimum admission criteria for specialized graduate programs.

* Coordinate with faculty and academic advisors to accurately place new and transfer students within their appropriate program of study.

III. Systems Maintenance

* Update and maintain evaluation references and internal data files necessary for accurate and efficient external credit posting.

* Maintain the integrity of data and functionality within People Soft, Transferology, and other institutional systems that support complex transfer credit articulation.

Qualifications:

Candidates must be able to explain and/or demonstrate that they possess the knowledge, skills, and abilities to

safely perform the essential functions of the job, with or without reasonable accommodation.

* Bachelor's degree or equivalent combination of education and work experience, preferably in higher education administration.

* Experience with following procedures, developing workflow systems, and exercising independent judgment to apply principles to individual circumstances.

* Experience with maintaining data files.

* Experience using Word and Excel for internal documentation and for external reporting or correspondence.

* Experience using People Soft or a similar Enterprise Resource Planning (ERP) software.

* Written and verbal communication skills with both groups and individuals in a professional context.

* Organization and time management skills necessary to manage competing priorities for multiple clients.

* Experience and aptitude for working collaboratively in a team.

* Ability to respectfully work, communicate and provide leadership within a diverse campus community

Compensation and Benefits:

The anticipated rate for this position is $23.34 per hour. Decisions about starting salaries are made based on the extent and relatedness of the candidate's education and experience and on internal equity and market considerations.

* Positions that work less than .75 FTE (1,560 hours per year) do not qualify for long-term disability or education benefits.

* Temporary positions that work at least .50 FTE (1,040 hours per year) will be eligible for benefits.
