Salary Range: $25.00 To $28.00 Annually
Position SummaryThe HR Assistant provides day-to-day human resources and administrative support in a unionized, Ability One environment under the direction of the HR Manager or HR Business Partner. This role assists with onboarding, compliance tracking, employee relations support, recruitment coordination, and HR operations while ensuring alignment with contract requirements and organizational policies. The HR Assistant works in support of HR leadership to help maintain an efficient, compliant, and well-supported workforce.
Key ResponsibilitiesHR Operations & Onboarding
- Conduct and facilitate new hire orientations
- Maintain employee personnel records, including ADP system updates and data accuracy
- Track onboarding progress and clearance requirements
- Support offboarding and separation processes
- Monitor and manage all compliance and pre-employment screenings, including Tier 1 background checks (verification and submittals), driver’s abstracts, immunizations, certifications, and other required documentation
Recruitment Support
- Coordinate interviews and candidate communications
- Assist with job postings and applicant tracking systems
- Support pre-employment screening and onboarding readiness
- Partner with HR leadership and hiring managers throughout the hiring process
- May attend community events and job fairs to support recruitment efforts
Union & Employee Relations Support
- Serve as a first point of contact for employee inquiries
- Support HR leadership with documentation, follow-up, and case coordination
- Assist with union communications and documentation tracking under the direction of HR leadership
- Assist with grievance, disciplinary, and investigation documentation processes
HR Administrative & Compliance Support
- Maintain compliance logs and audit-ready documentation
- Support Ability One AIE roster reporting requirements
- Assist with audits, inspections, and compliance reviews
- Ensure proper record retention and documentation standards
Ability One Program Support
- Support Ability One program documentation and reporting
- Maintain accuracy of workforce and compliance data
- Ensure administrative processes align with contract requirements
General Administrative Support
- Assist with training coordination and internal communications
- Support reporting, metrics tracking, and data analysis using Excel and other tools
- Assist in maintaining and updating ADP systems, ensuring data integrity and timely processing
- Provide administrative support to HR leadership and assist with department priorities as assigned
- 1–3 years of HR or administrative experience
- Experience in a unionized or regulated environment preferred
- Ability One or federal contracting experience a plus
- Experience with ADP Workforce Now (or similar HRIS/payroll systems) required
- Advanced proficiency in Microsoft Excel (e.g., formulas, data tracking, reporting) required
- Strong proficiency in Microsoft Office and HRIS systems; advanced technical skills preferred
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and handle sensitive information
Reports to HR Manager or HR Business Partner and supports HR priorities as assigned. Works closely with HR leadership, operations, and compliance teams in a support role.
Monday-Friday, 8AM-4:30PM. Flexibility required.
