As Meigs continues to grow, we are looking for a dependable, detail-oriented person to join our team as an Inventory Data Specialist & Administrative Assistant.

Job Summary

The Inventory Data Specialist & Administrative Assistant plays an important behind-the-scenes role in keeping Meigs Jewelry organized and operating efficiently.

This position is responsible for maintaining accurate inventory and product information, entering and updating data, assisting with online product listings, and supporting the day-to-day administrative needs of the store and management team.

The right person for this position will be highly organized, comfortable working with numbers and computer systems, attentive to details, and willing to step in wherever needed. Because this position works with important company, inventory, customer, and financial information, dependability, accuracy, discretion, and trustworthiness are essential.

Key Responsibilities Inventory & Product Data
  • Receive, label, organize, and maintain jewelry inventory.
  • Enter new merchandise and product information accurately into the inventory management system.
  • Maintain accurate product descriptions, pricing, costs, vendor information, and other inventory data.
  • Assist with physical inventory counts and periodic inventory audits.
  • Research and reconcile discrepancies between physical inventory and system records.
  • Help ensure merchandise is properly documented and accounted for as it moves through the store.
  • Generate inventory reports and provide information to management as needed.
  • Work closely with sales associates and management to ensure inventory information is accurate and current.
  • Assist with special orders, transfers, returns, and other inventory-related processes.
  • Identify opportunities to improve inventory accuracy, organization, and efficiency.
Administrative Support
  • Provide general administrative support to owners, management, and the Meigs team.
  • Assist with filing, recordkeeping, scanning, copying, and maintaining organized digital and paper files.
  • Help prepare reports, spreadsheets, documents, correspondence, and other business materials.
  • Assist with email, phone calls, scheduling, and routine office communication as needed.
  • Enter and maintain accurate customer, vendor, and business information.
  • Assist with invoices, purchase orders, receipts, and other basic bookkeeping or office records.
  • Use Quick Books and other business software to enter information and generate reports as needed.
  • Help maintain organized office systems and supplies.
  • Assist management with special projects and day-to-day tasks.
  • Provide occasional customer service support, including answering questions about product availability, pricing, or special orders.
  • Maintain confidentiality and use good judgment when handling customer, employee, financial, and company information.
Qualifications
  • Strong attention to detail and a high level of accuracy.
  • Excellent organizational and time-management skills.
  • Strong data-entry and computer skills.
  • Comfortable learning and working within multiple computer programs and systems.
  • Experience with inventory management, data entry, bookkeeping, or administrative work is preferred.
  • Quick Books experience is a plus.
  • Working knowledge of Microsoft Office, Excel, Google Workspace, or similar programs.
  • Ability to prioritize responsibilities and manage multiple tasks without losing attention to detail.
  • Strong written and verbal communication skills.
  • Dependable, trustworthy, and able to handle confidential information appropriately.
  • Positive attitude and willingness to help wherever needed.
  • Able to work both independently and as part of a team.
  • Strong problem-solving skills and willingness to investigate and resolve discrepancies.
