SummaryJOB SUMMARY:
The Graduate Coordinator for Advising and Admissions provides high level administrative management for the Dean, Graduate College. The Graduate Coordinator for Advising and Admissions supervises the Graduate Coordinator for Advising and Engagement as well as any graduate and undergraduate student internships. This position manages the daily functions of the Dean and the office including: graduate student Advising prior to admission and through graduation, admission, evaluation and maintenance of graduate student records, budgets, degree audit updates, correspondence, special projects, reports, maintenance of graduate faculty records, recruitment, and marketing.
DUTIES
- Serve as the primary general academic advisor for graduate students on the Tahlequah campus, including:
- Provide graduate students with registration and academic program information; communicate general policy information and available services to declared graduate students.
- Advise current and potential graduate students in the policies and procedures of the University, Graduate College, and degree programs.
- Assist with the maintenance of Plans of Study and Course Sequence materials.
- Assist with the transfer credit evaluation process.
- Serve as a liaison to instructional departments; facilitate student referrals to an appropriate faculty advisor.
- Monitor student academic progression to ensure student retentions standards are met.
- Supervise the Graduate Coordinator for Advising and Engagement (BA graduate coordinator position).
- Supervise graduate and undergraduate interns, assistants, and student workers.
- Evaluate, admit, and maintain student records for master level students, including processing and entering documentation into Banner and current document imaging system.
- Submit admission letters/documentation to incoming graduate students.
- Establish and maintain audit files for potential graduates; processing of applications and evaluation of academic records.
- Maintain student degree audit system for Graduate College.
- Update Degree Works scribe blocks with curriculum changes.
- Serve as secretary to the Graduate Council. Schedule meetings, ITV locations, and times. Arrange for student appeals to be presented. Prepare documentation for graduate council review of graduate faculty appointments. Maintain records.
- Perform final degree audit for graduate students applying for graduation. Develop and maintain list of master level students for graduation. Prepare spreadsheet for tracking and conferral of degrees to be submitted to registrar’s office each semester.
- Serve as contact point for faculty who have questions regarding Graduate College policy/procedures and by-laws.
- Perform degree audit data entry of all course/program substitutions and exceptions for graduate students.
- Prepare/monitor department budgets for both Tahlequah and Broken Arrow Graduate College Offices.
- Assist with on-site recruiting when Recruiting Coordinator is unable to attend.
- Create and implement documents for online process to assist in smoother work flow between students and the department.
- Maintain the current listing of Graduate Faculty Appointments. Update standard forms as necessary.
- Prepare and process all Graduate Assistantship and Graduate Student Worker applications.
- Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Dean of the Graduate College.
- Provide administrative assistance to the Graduate Dean as needed, including typing, placing phone calls, scheduling meetings.
- Perform related duties as assigned.
- Knowledge of all graduate programs for advising purposes.
- Knowledge of supervision best practices.
- Knowledge of Banner system regarding making changes in “back office” and online. Ability to determine if documentation meets guidelines/policies for admission purposes.
