TITLE:
ADMINISTRATIVE ASSISTANT III PENDING RECLASSIFICATION This open competitive advertisement is for a Career Service position located at Central Office in the Office of Health Services. The purpose of the Administrative Assistant III is to provide comprehensive administrative support to the Office of Health Service (OHS) by managing travel, and meetings, handling communications, tracking budgets and projects, and assisting leadership with organizational tasks.
This position is not a telework position and is required to report to the FDC office in the area it serves.
JOB DUTIES:
* Manage statewide event logistics for OHS staff, including travel and cost tracking using appropriate tools and software. Maintain OHS group emails, conference room calendar, and internal phone list.
* Coordinate travel arrangements for the Director and Deputy Director, including reservations and travel vouchers. Assist in reviewing OHS policies and procedures. Prepare presentation and training materials for internal and external meetings.
* Draft and distribute formal OHS memos and correspondence. Track OHS budget, expenditures, and projects using relevant software. Support personnel actions such as updating position descriptions and managing hiring documents.
* Coordinate and schedule in-person and virtual meetings. Participate in staff meetings and conferences as needed.
* Assist with tracking legislative bills impacting OHS and support legislative analyses and budget requests.
* Collaborate with leadership to organize the OHS Shared Drive and perform additional duties as assigned. BENEFITS:

PREFERRED QUALIFICATIONS:
* Experience in Microsoft Office Suite;
* Experience in an administrative assistant position for higher-level positions; and
* Experience in a criminal justice or health services organization. Support of knowledge, skills, and abilities should be demonstrated on the application, in the education, in the work experience, in the work sample, in the interview and/or during reference checks.
