Responsibilities
The Administrative Specialist is a member of the highly collaborative Business Operations Support Team (BOST) in the College of Arts & Sciences (CoAS). This position supports continuity of business operations within CoAS departments, programs, centers, and institutes (units) by facilitating the staff recruitment process and assisting in filling vacancies in the College. In addition, they directly assist units within CoAS as needed with day-to-day human resources and administrative activities.
Typical workload will include:
* Serving as the College recruitment specialist for USPS and A&P staff positions
* Coordinating with departmental hiring committees and facilitating the College's internal hiring process to ensure timely advertising, application review, interviewing, input of job opening data, submission of requests to hire, and hiring.
* Screening applications and resumes based on essential criteria for position and making recommendations to the hiring committee.
* Scheduling interviews, coordinating and communicating with department managers, hiring supervisors, interview committees and candidates. Participating in the interview process, as requested.
* Propagating open job advertisements for the College on various channels including maintaining content on our A&S careers page for both staff and faculty vacancies.
* Managing and responding to inquiries to the College's shared email inbox.
* Reaching out to potential candidates and building relationships to enhance connecting known talent to future job opportunities.
* Serving as the department representative to administratively process hiring and onboarding of department manager positions across CoAS and serving to process any staff vacancies during times of vacant HR rep positions within CoAS units.
* Tracking key recruiting, compensation, and position management metrics ensuring continual status communication with Associate Director.
Assisting with staff position management
* Submitting, tracking and monitoring to completion Position Description updates and reclassifications for all Staff positions across CoAS.
* Submitting, tracking and monitoring to completion compensation actions such as one-time pays, salary increases, etc. for all staff across CoAS.
Providing Human Resources and administrative support to CoAS units
* Assisting in problem solving with and for departments by researching transactions and resolving issues. Providing subject matter expertise to departments for human resource administrative actions. Liaising with central offices and departments on behalf of the college.
Resource and training development, and participating in strategic planning
* Participating in projects designed to enhance the human resource or operational systems to meet department and College needs.
* Working as part of the CoAS team to recommend, develop, and implement internal policies and procedures to achieve immediate and long-range administrative goals.
Qualifications
A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (
Note:
a combination of post high school education and experience equal to six years.)
