Our Organization and Mission:

The Division of Service Operations manages the Central Intake and Licensure unit, the one-stop shop for intake of applications and payments. The Division also oversees the Customer Contact Center (CCC), which handles all initial interaction conducted via telephone and e-mail.

The Work You Will Do:

This position performs regulatory administrative work as it pertains to opening, sorting, preparing and deprepping all mail coming into the Department trhough the Bureau of Central Intake and Licensure, Intake Unit.

Your Specific Responsibilities:

The incumbent in this position performs the following work and other related activities:
  • Reviews, extracts and sorts all incoming department mail as outlined by unit operating procedures. Serves as an expert on independently determining and sorting applications based on the profession and transaction.
  • Prepares all submissions during the sorting processes for digital imaging into the agency's document management system.
  • Performs imaging and quality assurance checks as assigned of documents imaged into the document imaging system.
  • De-preps documents ensuring checks and special documents are extracted from batches as required, preparing for transfer to other units for processing and/or records maintenance.
  • Operates machinery necessary to process requests that may include copy machines, letter opening machines, computer equipment, etc.
  • Alert the Regulatory Consultant of any questionable submissions which are not identifiable through the OnBase system for further inspection and direction.
  • Provides support to the Regulatory Program Administrator relevant to daily operations
  • Performs other related duties as assigned.
Knowledge, Skills, and Abilities:
  • Must be able to follow established policies and procedures.
  • Knowledge of licensing and document management systems preferred.
  • Ability to plan, organize and coordinate work activities.
  • Ability to follow complex established policies and procedures.
Minimum Requirements:
  • Must have experience performing clerical, mail processing, or document handling tasks.
  • Ability to lift and move up to 25 pounds.
