Overview
We are seeking an exceptional, highly organized, and proactive Executive Assistant to support our Founder, who oversees two dynamic and rapidly growing businesses. This is a high-impact, hands-on role for a “doer” and task owner who thrives in a fast-paced, multi-faceted environment. The ideal candidate is smart, resourceful, and able to quickly organize and track the myriad tasks, people, and opportunities across both businesses.
You will work closely with sensitive data, people, and strategic initiatives, requiring the highest level of integrity, discretion, and trust.
This position is designed to alleviate the Founder’s workload as much as possible, taking ownership of critical tasks, creating structures, and driving efficiency. With a willingness to travel, work in-office daily (most weekends), you’ll play a pivotal role in our businesses’ success.

Objectives- Provide high-level administrative and operational support to the Founder, managing calendars, scheduling meetings, coordinating travel, and handling correspondence across two businesses.
- Act as a proactive task owner, anticipating needs, prioritizing responsibilities, and ensuring seamless execution of multi-dynamic tasks with minimal oversight.
- Track and monitor all ongoing activities, relationships, and future opportunities within the businesses, maintaining comprehensive records and providing regular updates to the Founder.
- Create and implement organizational structures, processes, and systems (e.g., SOPs, workflows) to enhance efficiency and scalability across both businesses.
- Handle sensitive data, confidential information, and strategic discussions with the utmost integrity, discretion, and professionalism, particularly in finance, legal, and people-related matters.
- Participate in finance and legal discussions, assisting with document preparation, research, and follow-up to support critical business decisions.
- Travel as needed to support the Founder’s engagements, meetings, and business operations, ensuring smooth logistics and execution.
- Work in-office daily, including weekends, to maintain alignment with the Founder’s schedule and business demands.
- Collaborate with internal teams (e.g., finance, legal, operations) to drive projects forward and ensure alignment with business goals.
- Take initiative to identify and resolve challenges, proactively removing obstacles to allow the Founder to focus on strategic priorities.
- Strong Bachelor’s degree or equivalent experience in business administration, management, or a related field (preferred but not required).
- 5+ years of experience as an Executive Assistant, preferably supporting C-level executives or founders in fast-paced, multi-business environments.
- Proven track record as a “doer” and task owner, with exceptional organizational and time-management skills to handle complex, multi-dynamic responsibilities. Highly intelligent, resourceful, and quick to adapt, with the ability to get organized rapidly and track multiple priorities effectively.
- Demonstrated experience creating structures, processes, or systems (e.g., SOPs, project plans) to improve organizational efficiency.
- Impeccable integrity and trustworthiness, with the ability to handle sensitive data, confidential information, and strategic relationships with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management tools (e.g., Asana, Trello, MS Project), and financial/legal software (preferred).
- Experience in finance and legal discussions (or willingness to learn) is a plus, as the role involves supporting strategic business initiatives and interpersonal skills, great communication, and excellent chairside manner.
