THE OPPORTUNITY
As the Office Administrator, you will play a key role in creating an organized, efficient, and welcoming environment for our Tampa team. You’ll partner closely with the Director of People & Administration to ensure day-to-day operations run smoothly while supporting initiatives that enhance the overall associate experience. Your proactive approach and attention to detail will help keep our office operating at a high level.
WHOYOU’LL WORK WITH
You’ll be based in our Tampa office as part of the Administration Team, reporting directly to the Director of People & Administration. In this role, you will collaborate with associates across departments, support local leadership, and serve as a key liaison between internal teams and external vendors.
You will work closely with the Administration team to support office operations, team engagement efforts, and administrative processes that contribute to a positive and productive work environment.
WHAT YOU‘LL DO Office Operations- Oversee day-to-day office operations, including supplies, facilities coordination, vendor management, work orders, mail distribution, parking, corporate housing, and wellness memberships.
- Serve as the primary point of contact for office-related matters, ensuring a well-organized and efficient work environment.
- Ensure common areas are organized and well-maintained, including kitchen and storage areas.
- Coordinate meetings, travel (domestic and international), conference logistics, and onboarding support.
- Plan and execute office events and team engagement activities while providing administrative assistance across departments as needed.
- Prepare and process client billings and wellness credits.
- Review and reconcile travel and business-related expenses, train associates on expense procedures, and audit monthly insurance invoices.
- Assist with benefits administration, including open enrollment support.
- High School Diploma or equivalent required
- 1–2 years of office administration or operational support experience in a professional environment
- Proven experience in an office administrator or similar administrative role
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Strong interpersonal skills with a collaborative, service-oriented approach
- Proficiency in Microsoft Office Suite
- Extensive experience coordinating domestic and international travel arrangements
- College Degree
