Administrative Project Coordinator - Architecture
A role within HDR's Architecture practice that supports project teams in the planning and execution of construction administration tasks, quality coordination, and administrative support for the Florida Studio.
Responsibilities- Coordinate construction administration tasks and follow‑up using Newforma software.
- Track construction processes, sub‑consultant RIFs, submittal responses, and administer timely return of all correspondence to the contractor/owner.
- Apply company quality assurance guidelines for project document management.
- Collaborate with project managers and teams across the studio.
- Act as Quality Coordinator for the Florida Studio, scheduling and managing project reviews, assigning reviewers, and documenting quarterly quality checks.
- Assist the project manager with planning, execution, and close‑out activities.
- Produce, proofread, format, and organize written materials such as project guides, meeting minutes, invoices, reports, specifications, and correspondence.
- Create and maintain paper and electronic files and monitor insurance certificates.
- Coordinate meetings, presentations, and studio events to support culture and daily operations.
- Support studio principals with scheduling studio meetings, design series, procurement card procedures, and incidental requisitions.
- Exhibit professionalism with clients, both internal and external.
- Perform other duties as required.
- Experience in the architecture, engineering, or construction industry.
- Local candidate preferred.
- Associate degree in a related field or equivalent combination of education and experience.
- Minimum of one year of related experience.
- Proficiency in Microsoft Word and Excel.
- Commitment to participating in HDR’s employee‑owned culture.
